Operations Controller

We are looking for a mature Operations Controller. This person will report directly into the Chief Operations Officer (COO) of the schools, and will work closely with all other Head of Department to ensure the smooth running and logistics of the schools.

The Operations Controller is responsible for ensuring that the premises, cleaning, transport, catering and grounds of the school are functioning and maintained at what, in the COOs’ opinion, is the highest possible level of cleanliness, efficiency and appearance. The Operations Controller will be expected to take such initiatives as may be required to achieve this, including oversight of the various work teams regular and close inspection of the various operational areas. The Operations Controller is expected to be a fully participating member of the schools community, and support the children and staff of the school in events and activities within the school as appropriate.

The Operations Controller is responsible either for personally carrying out the duties below, or to liaise with the line manager regarding major works. The Operations Controller will attend the termly meetings of the Health & Safety Committee.

Main activities and responsibilities:
The Operations Controller ensure attendance on site throughout his/her period of duty. The COO and office staff should know his/her whereabouts and he/she must be easily contactable.

The Operations Controller is responsible for carrying out, or supervise, the duties below:
Management and Administration
- Be responsible, on an annual basis, for planning and managing a operations schedule in consultation with the COO
- Attend weekly planning meetings with the COO which the priorities for the following week are identified
- Respond to all reasonable requests as made by the COO
- Submit and follow up requisitions, only ordering materials within budget guidelines
- Working alongside the COO, to prepare works specifications, documentation, and requests for funding, as required to support project works
- Maintain records of utilities, meter readings, health and safety, and all other scheduled maintenance checks etc.
- Liaise with contractors and other professionals as directed by the COO
- Ensure that all work carried out by food services, transport, grounds work and cleaning staff is done with due regard to the Health and Safety Policies and Regulations
- Test the security and fire alarm system weekly, check gates and locks, ensuring that any defects are dealt with and keep appropriate records
- Organise and manage the removal of rubbish from learning and play spaces and and rubble from any development sites and ensure that all escape routes and potentially hazardous areas are kept free from obstruction
- Ensure that inflammable materials for use around the site are safely stored and advice is given on the storage of combustible materials
- Ensure that dangerous substances and equipment are used and stored safely, in accordance with regulations
- Inform the COO and the Head of OHS of any changes that are required to the OHS inventory
- Checking and maintaining the play area and outdoor equipment
Security
- As the primary key holder, to attend to all matters relating to the alarm system and key holder information.
- Opening and closing the school each day; disarming the alarm system; securing the school, including windows, exit doors and gates; re-arming the alarm system
- In partnership with all other members of staff, maintain the security of the school site by being vigilant regarding strangers, and reporting any concerns to the COO. Ensure that the Office staff and Principals are aware of persons working on the site
- To be the first key holder and respond to emergencies out of school hours. (The Operations Controller will be paid for these call outs)
- Key-cutting control as directed by the COO.
Services, Maintenance and Repairs
- Oversee, with COO and the HOD: Facilities and Maintenance, the maintenance and development of the school site, classrooms, buildings and utilities
- Ensure maintenance, repairs and inspections of equipment are conducted in accordance with the schools' regulations
- Ensure the correct signs are on display e.g. exit, first aid signs, etc in accordance with OHS regulations
- Ensure the maintenance and replacement of school signage in association with the COO
- Ensure that the premises are adequately ventilated, cooled or heated and lit, appropriate to conditions. Take the necessary steps to ensure the most efficient operation and use of the lighting, cooling and heating of the premises including maintenance and operation of the equipment
- Undertake duties covering maintenance items and emergency repairs as agreed with the COO and HOD: Facilities and Maintenance, contacting and engaging contractors etc. for tasks requiring specialist skills and keeping relevant records
- Undertake some external and internal redecoration to an agreed programme, most often during the school holidays
