Procurement Officer

The purpose of the Procurement Officer role is to ensure that all requisitions and purchase orders for raw material and equipment are prepared, processed and tracked in a costly and timely manner in line with FSSC 22000 requirements.
**MINIMUM REQUIREMENTS**:
Bachelor’s degree/Diploma in supply chain management, Business Management or a related field.
Minimum of 2 years’ experience in inventory management, preferably in a FMCG environment.
Proficiency in Microsoft Office and ERP systems
Valid Driver’s license.
Strong understanding of food safety standards and compliance requirements, particularly FSSC 22000.
**KEY COMPETENCIES**:
Strong organizational skills and attention to detail
Excellent verbal and written communication skills, with the ability to negotiate effectively and build lasting supplier relationships.
Ability to troubleshoot issues, identify root causes, and implement effective solutions.
**KEY RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO**:
**Inventory Management**:
- Prepare and process requisitions and purchase orders for raw material and equipment.
- Track and follow up on outstanding orders.
- Monitor inventory levels to prevent shortages or overstocking, ensuring materials are available when needed.
- Assist in sourcing, negotiating, and managing suppliers for raw materials, packaging, and other goods/services required by the company.
- Give monthly updates of open purchase requisition statuses.
- Monitor obsolete and expired stock in line with FSSC 22000 requirements.
- Assist the Operations Manager and Stores/Warehouse Manager to investigate and resolve any discrepancies or issues related to inventory, deliveries, or stores operations.
**Supplier Relationship Management**:
- Build and maintain strong relationships with suppliers to ensure a reliable and high-quality supply chain.
- Assist to conduct regular supplier evaluations and audits to ensure compliance with company standards and FSSC 22000 requirements.
**Documentation & Reporting**:
- Maintain an effective document control system that complies with FSSC 22000 requirements.
- Ensure all records related to raw material stores (e.g. inventory records), are accurately maintained, up-to-date, and easily retrievable.
- Adhere to Standard Operating Procedures (SOPs).
- Coordinate with the Quality Assurance team to ensure that all documentation meets internal and external audit requirements.
**Compliance with FSSC Requirements**:
Ensure all procurement activities align with FSSC 22000 standards, including the assessment and approval of suppliers based on food safety criteria.
Work closely with the quality assurance team to ensure that all sourced materials meet the required safety and quality standards.
**Cost Management**:
Work with the finance team to manage budgets, negotiate cost-effective deals, and track expenditure against forecasts.
**Communication And Collaboration**
- Work closely with cross-functional teams, including production and quality assurance, to align procurement activities with production plans and specifications.
- Participating in regular meetings with cross-functional teams to address material issues and develop solutions, fostering a collaborative work environment
