Junior Fleet Manager

**Job Purpose**:
- Ensure the carrying out a wide variety of tasks related to planning, managing, supervising, and coordinating the fleet management related activities;
- Ensure the effective running and management of the fleet of vehicles and the assets of the company;
- Ensure that all vehicles are in good running order.
**Duties and Responsibilities**:
Internal Business Process Perspective:
- Ensure maximum fleet capacity, and that any other down-time and/or repairs are reported;
- Ensure the booking of vehicles for services nationally both externally and in-house when the services fall due;
- Ensure that regular service interval are maintained on all fleet vehicles in order to optimise functioning and minimise pollution;
- Ensure that all operational assets are maintained and repaired to ensure a maximum life-span and full utilisation of assets;
- Ensure improved efficiencies on all motor vehicles, e.g. fuel consumption;
- Ensure that any vehicle accidents and IODs are addressed, should they occur;
- Ensure the organising and installation of tracking systems on new vehicles;
- Ensure the managing and inspecting of all fleet vehicles for physical damage at all times;
- Ensure compliance to legal environment regarding roadworthiness;
- Ensure that all vehicles have a valid license at all times;
- Ensure that all fines are up to date and paid, as per company policy;
- Ensure that all vehicles have been registered in the correct company name;
- Ensure that there is a continuous evaluation of all fleet processes and systems in order to improve the efficiency thereof;
- Evaluate all process flows and assess efficiencies on a regular basis;
- Ensure that a detailed procedure for vehicle operations is developed, with daily, weekly and monthly checklists;
- Ensure that there are detailed asset registers per property and that these are updated, as required;Ensure that all colleagues who make use of any company vehicle adhere to the Fleet and Ultilisation of Company vehicle policy at all times.
Customer (Internal / External) Perspective:
- Implement feedback loop regarding service delivery in Fleet Management and at all company properties;
- Schedule and attend meetings, as required;
- Ensure effective internal communication through monthly management reports;
- Handle complaints and/or problems and ensure they all resolved successfully and within the time guidelines.
Financial Perspective:
- Ensure that all costs are appropriately managed by reviewing all relevant documentation and reports;
- Monitor actual expenditure incurred by the department;
- Manage fleet card facilities on a monthly basis;
- Ensure fleet cards are obtained for old and new vehicles as and when required;
- Ensure that the Travel Claim Rate is updated as and when the petrol price goes up or down;
- Revise the Travel Claim Rate Calculation annually to ensure that the cost breakdown is still relevant.
Learning and Growth Perspective:
- Ensure close working relationships with all units in order to ensure that all employees who are involved with fleet vehicles are qualified and competent to operate that specific vehicle for its specific purpose;
- Provide support and training to colleagues to ensure adherence to procedures.
**Desired Experience & Qualification**:
- A Tertiary Qualification in Fleet Management or similar field;
- 5 years' of relevant experience;
- Experience in Fleet management, control & administration (including insurance claims, licensing, servicing, road worthies, damage investigations, etc.);
- Knowledge of road regulations
- Must be proficiency in MS Office, in particular MS Excel;
- Must have a working knowledge of fleet management software, tracking software and fixed asset software;
- Attention to detail;
- Good organising and co-ordinating ability;
- Good verbal and written communication skills (comfortable in the English language);
- The Ability to meet deadlines;
- Own transport & driver's license essential;
- Ability to carry out occasional work in evenings and on weekends
