Department Manager: Despatch

Introduction
We are looking to recruit a Department Manager: Despatch (Lea Glen) to work for United Pharmaceutical Distributors (UPD). The role will be based at our Lea Glen branch and will report to the Operations Manager.
Job Purpose:
To manage the outbound activities, which includes order assembly, checking, dispatch and POD, in a professional, effective and efficient manner to ensure an optimum customer service experience thus increasing company sales, minimizing cost and maximizing revenue.
Job Objectives:
1. To ensure that orders are assembled in line with operational SOPs.
2. To ensure that orders are checked in line with operational SOPs.
3. To ensure that orders are dispatched, as per allocated routes, on time and in full.
4. To ensure that PODs are returned as stipulated by SLA, and updated.
5. To manage the reverse logistics process by ensuring that pick-ups are done as per SLAs.
6. To ensure that customer queries are authorized/rejected on a daily/weekly/monthly basis and that credit is passed where due.
7. To develop customer relationships in order to maximize the customer experience.
8. To ensure that individual and departmental operational and cost targets are met/adhered to.
9. To ensure that the outbound department complies with Good Wholesale and Distribution practice; adhere to UPD SOPs; record, rectify and report errors to the Branch Manager.
10. To ensure that operational cost containment targets and stipulated cut-off time and deadlines are met and complied with.
11. To manage the HR management component of the department, which includes performance management, talent identification and management, disciplinary action, and employee wellness.
12. To ensure that department CRMs are resolved within SLA.
13. To ensure that all non-delivered orders are credited where applicable.
14. To ensure that all distribution POD reports are completed timeously and shared with the relevant clients.
15. To ensure that all POD related exports queries are resolved.
16. To ensure that all non-delivered exports orders are destructed and credited accordingly.
17. To ensure that all materials handling equipment are accounted for, including Chep, Totes, and coolers.
18. To ensure that all financial reports are completed as per finance department standards.
19. Driver management – ensuring that all drivers adhere to UPD SOPs and that all transgressions are recorded and sanctioned accordingly where needed.
20. TAPA – to ensure that the department adheres to all TAPA requirements, i.e., vehicle key management.
21. Distribution KPI – to ensure that all distribution KPIs in relation to PODs are met, including weekly KPI meetings where applicable with distribution clients.
22. To ensure all liability and claims in the absence of a valid POD are completed.
23. Debtors – to ensure that all debtors reports are completed as per debtors department standards.
Skills:
- Knowledge of Microsoft Word, Outlook, and Excel.
- Excellent communication skills and telephone etiquette.
Knowledge:
- Good knowledge of warehouse operational procedures.
- Knowledge of industrial relation management.
- Ability to work well in a team and to create an effective team.
- Ability to work well under pressure.
- Ability to work toward tight deadlines.
Education and Qualifications:
- Degree/diploma in warehousing/transport/distribution.
Experience:
- Minimum 3 years in an outbound, operational-related environment.
- Pharmaceutical Distribution experience.
