About the Role:

O'Brien Recruitment is seeking a highly organized and detail-oriented professional to fill the position of Fleet Administrator. As a key member of our team, you will be responsible for providing administrative and logistical support for our company's fleet vehicles.

Key Responsibilities:

  • Collate and inspect Vehicle Inspection Checklists to ensure accuracy and compliance.
  • Maintain a comprehensive database of company vehicles and issued assets, including driver files and vehicle records.
  • Organize and manage vehicle inspection records and filing systems to ensure efficient access to information.
  • Ensure accurate records of inspections, repairs, and service history for all fleet vehicles.
  • Process and submit signed Acknowledgement of Debt (AoD) forms to Payroll in a timely manner.
  • Secure insurance coverage and process accident claims in accordance with company policies.
  • Analyze petrol consumption and identify opportunities for cost savings and efficiency improvements.
  • Conduct fleet management inductions for new staff members to ensure a smooth transition.
  • Manage vehicle repairs and maintenance, including scheduling and coordinating with external vendors.
  • Analyze vehicle tracking reports to identify trends and areas for improvement.
  • Conduct vehicle inductions and inspections with new drivers to ensure compliance with company policies.
  • Dispatch fleet vehicles to sites as needed, ensuring efficient use of resources.
  • Evaluate tracker reports and escalate findings to management for prompt action.
  • Coordinate with external vendors for maintenance and repairs, ensuring timely completion of tasks.
  • Ensure vehicle accident investigations are completed and submitted to HR in a timely manner.
  • Verify that vehicle and driver licenses are current and up-to-date.
  • Maintain accurate and up-to-date driver and license databases.
  • Submit accident/incident documentation to third parties as required.
  • Complete and submit vehicle accident reports in accordance with company policies.
  • Maintain an active and accurate license and registration database.
  • Enforce company Vehicle Usage Policy to ensure compliance and safety.
  • Prepare and submit regular reports and presentations on fleet performance to management.
  • Coordinate Avis vehicle inspections and evaluations to ensure optimal fleet performance.

Requirements:

  • Grade 12 education or equivalent.
  • Minimum 2-3 years of experience in fleet management/administration.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Valid Code 8 Driver's License.
  • Relevant qualification in the logistics field.
  • Knowledge of relevant legislations and industry best practices.
