Job Description

Key Responsibilities

Labor Management

  • Assist in the compilation and submission of Employment Equity Reports to the relevant authorities on a timely basis.
  • Form and chair the Employment Equity Committee to ensure effective implementation of equity policies.
  • Organize and plan quarterly Employment Equity Meetings to discuss progress and challenges.
  • Minute and distribute meeting minutes to ensure transparency and accountability.
  • Ensure the effective use of the Employment Equity Module on Sage Payroll.

Workplace Skills Plan and Annual Training Reports

  • Work closely with the Training and Development Officer to:
  • Assist in the compilation and submission of online reports to SETA.
  • Plan and organize training programs to enhance employee skills and development.
  • Apply for Learnerships via the Pivotal section of the online submission.
  • Ensure the effective use of the SD Module on Sage Payroll.

Recruitment Process

  • Follow the full Recruitment System, including PPA and Fingerprinting.
  • Oversee the coordination of recruitment throughout the company.
  • Set up interviews and conduct them in a fair and transparent manner.
  • Ensure that job advertisements are placed in various media outlets.
  • Ensure that internal advertisements are sent to relevant stakeholders.
  • Compile a comprehensive Recruitment Database from received CVs.
  • Conduct reference checks to verify candidate credentials.
  • Conduct exit interviews to gather feedback and improve the recruitment process.

Induction Process

  • Maintain and follow the Induction Process within the organization.
  • Train employees on the induction process to ensure a smooth onboarding experience.
  • Ensure that the induction schedule is signed and returned by employees.

BEE Compliance and Implementation

  • Assist the National HR Manager in preparing the BEE Verification Audit File on all elements of the scorecard.
  • Be actively involved in all elements of the scorecard.
  • Have a thorough understanding of current BEE Legislation and requirements.

General Human Resources Duties

  • Draft letters of appointment and job descriptions.
  • Ensure that necessary counseling is given or arranged for employees when required.
  • Ensure effective communication with employees.
  • Ensure effective mentoring of employees when necessary.
  • Input in drafting policies and procedures.
  • Monitor company policy and procedures in line with group policy and prevailing legislation.
  • Maintain KPIs and performance appraisals system.
  • Ensure all staff receive performance appraisals in accordance with company policy and monitor accordingly.
  • Maintain a succession plan for all departments.
  • Attend daily operations meetings.
  • Be up to date with current and prevailing labor legislation.
  • Ensure that all policies and procedures are authorized by the Senior HR Manager prior to distribution to employees.
  • Have valid input for the monthly newsletter, submitted timeously.
  • Ensure that the newsletter is ready for distribution by the deadline date.
  • Ensure that employee of the month nominations are received timeously, confirm file checks, and consult with Snr HR Manager and HODs to finalize the winner.
  • Assist Senior HR Manager in compiling the summarized report to Senior Management of the business on a monthly basis.
  • Ensure that a weekly HR report is sent to management.
  • Ensure criminal checks are done for new employees in advance.
  • Ensure criminal checks are conducted for all existing employees every 2 years.
  • Ensure daily labor costs are done and submitted.
  • Manage the Time and Attendance system.
  • Manage the on-site clinic.
  • Implement wellness initiatives.
  • Arrange counseling for employees when required.

IR

  • Deal with all performance, grievance, and IR-related issues in a legally compliant and professional manner.
  • Conduct all investigations regarding theft and other disciplinary issues.
  • Issue relevant disciplinary action and documentation.
  • Arrange and sit in disciplinary hearings.
  • Ensure that all IR-related employee documents are signed and are in the employee's file.
  • Prepare notice to attend a hearing, absconsion, written warnings, etc.
  • Notify all necessary people, including the employee, of the findings.
  • Attend CCMA/BC cases on behalf of the company.
  • Ensure De-Merit Point Warnings are issued.
  • Ensure Alert Warning on points are issued.
  • Attend union meetings.
  • Investigate daily absenteeism and issue necessary disciplinary actions.

Payroll Management

  • Ensure management of the JNB payroll:
  • Payroll is captured.
  • Deadline dates are met.
  • Ensure payslips are printed and distributed monthly.
  • Ensure that all payroll-related filing is done monthly.
  • Ensure that all employee files are up to date.
  • Prepare all 3rd party payments and schedules by deadline dates, but not limited to the following:
  • Garnishee's.
  • Maintenance Orders.
  • Funeral Contributions.
  • Union Contributions.
  • Bargaining Council Contributions.
  • Provident Fund Contributions.
  • Ensure that all third-party preparations are submitted to finance timeously for payments.
  • All terminated employees' files need to be archived.
  • Ensure regular employee file checks are done.
  • Ensure submission of electronic UIF declarations and claims via U-filing.
  • Ensure submission of all injuries on duty via the online portal.
  • Ensure that the year-end OID report is submitted to finance for payments.
  • Ensure that the monthly leave report is monitored and further submitted to the finance department.

General

  • Observe all safety rules and procedures.
  • Ensure that all equipment and materials are not left in a dangerous state.
  • Ensure that all HSE rules and procedures are followed, and hazards/near miss and accidents are properly reported.
  • Raise any work-safety hazard when participating in HSE meetings or Risk Assessment.
  • Perform any other reasonable task that may be required by management.

Perfil

  • Grade 12.
  • Diploma in HR Management.
  • HR Degree will be an advantage.
  • Certificate in Industrial Relations will be an advantage.
  • Driver's License and own vehicle.
