The Costing/Warranty Clerk role at Hyundai Automotive South Africa involves ensuring adherence to Company and Hyundai Automotive SA's policies in submitting claims on time while maintaining customer confidence in the brand through professional services.

Key Responsibilities
  1. Validate vehicle data on documentation before input.
  2. Review job cards for car shop, paint, and panel costing.
  3. Ensure correct damage codes on all claims.
  4. Address and expedite claim queries promptly.
  5. Maintain a secure parts claim store at all times.
  6. Keep the parts claim store clean and tidy.
  7. Correctly tag warranty parts.
  8. Send prescribed parts to suppliers within specified times.
  9. Process paint shop claims efficiently.
  10. Liaise closely with HASA warranty claims department for seamless claim processing.
  11. Place ordered warranty parts on back order listing.
  12. Follow up on outstanding warranty back-order parts and customers.
  13. E nsure customers return for back-order warranty repairs.
  14. Verify vehicle history and previous warranty work.
  15. Check that vehicles are within the warranty parameter period.
  16. Record correct mileage on job cards.
  17. Ensure Workshop inspection and diagnosis of vehicles.
  18. Verify warranty part availability.
  19. Accurately record part and part number on warranty claim forms.
  20. Obtain required authorisation before commencing repairs - DP or Service Manager to authorise while waiting for final HASA authorisation.
  21. Adhere to the warranty policy at all times.
  22. Reconcile warranty job cards, invoices, and warranty claim forms to a warranty register.
  23. Submit all warranty claim forms and invoices to HASA within 7 days of repair completion.
  24. Follow up with HASA on received invoices.
  25. Cost and invoice job cards immediately upon repair completion.
  26. Destroy failed parts as per the warranty policy and procedures unless instructed otherwise by HASA. When requested, send parts required for inspection to HASA.
  27. Ensure warranty job cards and invoices are signed by customers.
  28. Maintain warranty filing by chassis number.
  29. Keep manual reports of warranty parts over 30 days for incentive purposes.
