Job Title: Key Accounts Administrator

We are seeking a highly organized and detail-oriented Key Accounts Administrator to join our team at Bidvest Protea Coin. The successful candidate will provide administrative support to the Key Accounts Department, ensuring seamless day-to-day operations and contributing to the growth and success of our business.

Key Responsibilities:
  • Compile and analyze monthly, weekly, and quarterly Key Accounts reports to identify trends and areas for improvement.
  • Plan, execute, and write reports on Key Accounts activities, highlighting key achievements and areas for development.
  • Provide administrative support to the Key Accounts Director, including calendar management, travel arrangements, and meeting coordination.
  • Assist in the development of strategic and tactical Key Accounts initiatives and plans, ensuring alignment with business objectives.
  • Monitor and implement budget controls for the department, ensuring effective resource allocation and cost management.
  • Manage all administrative responsibilities for the department, including requisitions, invoices, and petty cash reconciliation.
  • Assist in expanding relationships with existing clients, planning, and hosting Key Accounts client events.
  • Create and maintain a Key customer database, ensuring accurate and up-to-date information.
  • Prepare all Key Accounts meeting minutes, ensuring clear and concise documentation of discussions and decisions.
  • Plan and coordinate activities, including day-to-day, weekly, monthly, and quarterly tasks, ensuring effective time management and prioritization.
  • Coordinate with various teams to ensure customer expectations are met, including internal and external stakeholders.
  • Organize customer gifts and prepare necessary presentation materials and organograms.
  • Schedule and coordinate meetings, internal and external, ensuring seamless communication and collaboration.
  • Minute keeping, including internal and external stakeholders, ensuring accurate and timely documentation.
  • Assist with recruiting and training Key Accounts interns, ensuring a smooth onboarding process.
  • Plan and implement events, monitoring and reporting on progress, ensuring successful outcomes.
  • Assist in developing initiatives to increase customer satisfaction and retention, coordinating travel arrangements for the Key Accounts department.
  • Perform other related duties as assigned, ensuring flexibility and adaptability in a fast-paced environment.
Requirements:
  • Grade 12 or equivalent qualification.
  • Diploma/Degree in Marketing, Communications, or Business Management/Administration.
  • Excellent verbal and written communication skills.
  • Ability to work well under pressure, commit to deadlines, and maintain a strong work ethic.
  • Excellent people skills, intuitive to customers' business needs, and calmly dealing with customer complaints and issues.
  • Ability to work independently and within a team, with good PC and software skills, proficiency in MS Office, and basic accounting and/or technical knowledge.
  • Report writing skills, including minutes, reports (weekly/monthly/quarterly).
