Job Overview

We are seeking a highly skilled Procurement Administrator to join our team at Work Africa, specializing in import operations. This role involves acquiring and clearing estimates, costing goods, placing orders with overseas suppliers, and verifying prices.

Main Responsibilities:

  • Acquiring and clearing estimates: Requesting estimates from clearing agents for goods landed in South Africa, taking into account HS codes and relevant duties.
  • Costing of goods: Calculating the cost price of imported goods landed in South Africa, considering the ROE and clearing estimate.
  • Placing orders: Sending purchase orders to overseas suppliers via Pastel and tracking the order process with the imports controller and manager.
  • Order production date management: Tracking orders with overseas suppliers regarding production dates.
  • Price verification: Checking that commercial invoice prices match proforma invoices or sales orders, as well as confirming product specifications.
  • Import schedules: Assigning internal references to new orders and updating production dates on relevant Excel sheets, working closely with the imports team.
  • Shipping documents: Checking shipping documents have been received after relevant checks on pricing and specs, then passing them onto the imports team for clearing.
  • Capturing of stock: Verifying final clearing invoices from agents, calculating cost price combining forex, commercial invoice from supplier, and clearing invoice, and presenting it to the Imports Manager for approval.
  • Updating replacement cost for price list: Requesting estimates for price lists from clearing agents, ensuring HS codes are correct and relevant customs duties accounted for, filling in estimate amounts on price lists, and presenting it to the Imports Manager for approval.
About You

We are looking for a candidate with strong communication skills, advanced Excel skills, and experience in costings and bookkeeping/finance. A matric/further qualification is advantageous, and you must be proficient in English (verbal and written).
