Job Summary:

The Advertising Coordinator is a key role within our organization, responsible for managing the production process of advertising, promotional, and marketing materials. This includes receiving and loading client briefs into the system, ensuring strict adherence to deadlines, and communicating effectively with departments, agencies, and clients to maintain optimal service levels.

Key Responsibilities:

  • Client Brief Management: Load and manage client briefs and changes, ensuring strict adherence to deadlines.
  • Quality Assurance: Ensure quality assurance for data entered into the system and final outputs.
  • Communication: Communicate effectively with departments, agencies, and clients to maintain optimal service levels.
  • Creative Process Understanding: Understand the creative process and apply brand guidelines across media formats.
  • Timeline Management: Track and manage timelines, providing daily status updates on tasks.
  • Amendment Management: Liaise with internal staff and clients to gather necessary information and manage amendments.
  • Brief Resolution: Assist clients by resolving brief queries and ensuring prompt responses.
  • System Management: Manage all work through the system according to the training manual.
  • Barcode Verification: Verify barcodes and product information on client briefs and follow up on image delivery.
  • Workflow Management: Maintain a continuous workflow for all client briefs and manage promotional briefs within critical path timelines.
  • Briefing: Brief the DTP Advertising team accurately and on time.
  • Brand Element Management: Ensure correct creative themes and brand elements are included in briefs.
  • Data Input: Input accurate data into the system for scheduling and reporting.
  • Job Prioritization: Work with internal teams to prioritize jobs based on critical path timelines.
  • Creative Instructions: Liaise with the agency and DTP team on creative instructions and media bookings.
  • Job Progress Tracking: Track job progress and communicate with Client DACs to ensure quality output and timely task completion.
  • Confidentiality: Maintain client confidentiality and uphold professional standards.
  • Status Updates: Provide daily status updates and handle day-to-day queries.
  • Media Bookings: Check media bookings and assist with brief execution as needed.
  • Missing Elements: Flag missing elements and work with internal teams and service providers to meet critical deadlines.
  • Job Reverts: Manage job reverts and updates, ensuring correct system records and accurate output.

Key Performance Indicators:

  • Effective Client Interaction: Effective client interaction and relationship building.
  • Brief Query Resolution: Swift resolution of brief queries and issues.
  • Production Flow: Seamless production flow from brief to final proof and material delivery.
  • System Output: Quality and timely system output for advert layouts and approvals.
  • Deadline Adherence: Adherence to system requirements and critical path deadlines.

Competencies Required:

Qualifications and Skills:

  • Matric Essential: Matric essential; 3-4 years of experience in retail advertising preferred.
  • Certificate or Diploma: Certificate or diploma in advertising or related field beneficial.
  • Microsoft Office Proficiency: Proficiency in Microsoft Office applications.

Salary and Benefits:

  • Cost to Company: Salary is Cost to Company.
  • Compulsory Provident Fund: Compulsory provident fund with Alexander Forbes, set at 15% of CTC.
