Executive Support Specialist

Job Description:
West Coast Personnel is seeking a highly organised and proactive Executive Support Specialist to provide dedicated support to the CEO.
About the Role:
- This is a fast-paced, multifaceted role requiring exceptional attention to detail, strong organisational skills, and the ability to manage competing priorities in a professional environment.
- The successful candidate will be responsible for coordinating and booking domestic and international flights, securing hotel accommodations, and organising travel itineraries for the CEO.
- In addition, you will plan and arrange holiday excursions, activities, and leisure events as requested by the CEO.
- You will also efficiently schedule appointments, meetings, and conference calls while managing potential conflicts and ensuring smooth coordination of the CEO's calendar.
- Others tasks include greeting and assisting visitors, performing general administrative tasks such as typing, filing, document preparation, and office organisation, supporting financial tasks including basic invoicing, tracking of expenses, and assisting with budget-related matters, and providing recruitment assistance during interview preparation and on-site support during recruitment activities and meetings.
Requirements:
- Proven experience in a secretarial or executive support role, with a track record of supporting senior executives.
- Exceptional organisational skills with the ability to multitask and prioritise effectively in a fast-paced environment.
- Strong problem-solving ability, with a proactive, solution-oriented mindset.
- Excellent written and verbal communication skills.
- High degree of professionalism, with the ability to maintain confidentiality and handle sensitive matters with discretion.
- Strong adaptability and willingness to take on new challenges and responsibilities.
- A positive and approachable attitude, combined with the ability to remain composed under pressure.
Salary: $80,000 - $100,000 per annum
