Job Summary

To manage commercial sites effectively, ensuring successful staff, equipment, client liaison, and financial performance. Provide guidance and training to less experienced Contract Managers and assist in the Operations Manager position as needed.

Responsibilities
  • Operational Management
    • Assist Contract Managers with new site start-ups
    • Assist the Operations Manager with financial budgets and equipment procurement for sites under Contract Managers' supervision
    • Ensure implementation and maintenance of client service level agreements
    • Develop strategic planning for efficiency and profitability improvement
    • Oversee financial implications of stock, consumables, and material procurement
    • Monitor site cleanliness, productivity, and operational activity with Contract Managers
  • Monthly and Weekly Reports
    • Review and approve KPI reports for Contract Managers
    • Verify site inspection reports to ensure completion of required inspections
    • Confirm ad-hoc billing and ensure timely client invoicing
    • Use the manifest for collection bookings
  • Transportation
    • Resolve daily issues with Regional Transport Manager and escalate to Operations Manager if necessary
    • Communicate with service providers and escalate issues to Operations Manager if needed
  • Client Relations
    • Manage client relationships to ensure satisfaction through prompt issue resolution
    • Attend to client proposals and service level improvement requests
    • Visit sites regularly to manage progress, productivity, efficiency, and profitability
    • Meet with clients monthly to address issues and provide feedback
    • Provide written client relationship updates to Operations Manager
  • Personnel Management
    • Complete staff inductions and training as per company policy and procedure
    • Train newly appointed Contract Managers
    • Manage staff appointments to meet site SLAs
    • Handle resignations in accordance with company rules and regulations
    • Manage foreign staff appointments, working permits, and asylum documents
    • Manage daily absenteeism and arrange relief staff as needed
    • Train staff for maximum productivity and profit
    • Address staff grievances according to company policy
    • Implement disciplinary actions as per company policies
    • Prepare weekly reports on working hours, absenteeism, and leave
    • Conduct monthly meetings with Contract Managers
    • Ensure Contract Managers conduct regular site inspections
    • Follow up with Contract Managers on data-related issues
    • Conduct KPI checks with Contract Managers
  • Administration Responsibilities
    • Prepare daily reports on absenteeism, problems, relief staff, IODs, damages, non-collections, and complaints
    • Weekly reports on site visits, staff leave, IODs, and operational feedback
    • Monthly reports on:
      • Site inspections
      • KPI report for profitability
      • Appointments and resignations
      • Commercial asset register
      • Month-end payroll report
      • Industrial relations reports with disciplinary actions
    • Provide necessary information for data department to set up accounts and verify company information
    • Scan and upload client and employee documentation on Insync
  • SHEQ Responsibilities
    • Ensure staff have required PPE according to company policy and site requirements
    • Train staff on SHEQ regulations, policies, and procedures per site
    • Update and maintain site SHEQ files
    • Train staff on sites with hazardous equipment or products
    • Manage incidents and accidents according to company policy
    • Ensure sites comply with company and client SHEQ policies
    • UpHOLD SHEQ initiatives as per company policy
