  • Maintenance and Repairs: Coordinate with contractors and suppliers to resolve property maintenance issues promptly and efficiently.
  • Tenant Engagement: Foster strong relationships with tenants, addressing their queries and concerns in a professional and courteous manner.
  • Contractor Oversight: Monitor building contractors and suppliers, ensuring they meet required service standards and adhere to agreed-upon SLAs.
  • Quality Control and Assurance: Verify tenant installations, approve payment authorizations, and conduct regular site visits to ensure properties are well-maintained.
  • Equipment Servicing and Maintenance: Schedule and coordinate equipment servicing and maintenance within established time frames and budgets.
  • Supplier Relationship Management: Develop and maintain strong relationships with key suppliers, negotiating favorable terms and conditions.
  • Insurance Claim Handling: Process insurance claims on behalf of RareCruit, ensuring seamless communication with stakeholders.
  • Risk Management and Compliance: Identify potential risks and develop strategies to mitigate them, ensuring properties comply with relevant legislation and regulations.
  • Site Maintenance and Appearance: Ensure properties are maintained in a neat and clean state, adhering to high standards of repair and upkeep.
  • Team Development and Training: Lead and train maintenance staff, promoting excellence in facilities management and driving business growth.
  • Creditor Payments and Record Keeping: Manage property-related creditor payments, maintaining accurate and up-to-date records.
  • Annual Service Requirements: Track and manage annual service requirement items, ensuring compliance and adherence to schedules.
  • Communication and Stakeholder Engagement: Foster effective communication with tenants, providing regular updates to management on portfolio status and performance.
  • Proactive Maintenance Strategies: Identify areas requiring attention or intervention, implementing proactive maintenance strategies to minimize downtime and optimize efficiency.
  • Disclaimer and Indemnity Boards: Ensure properties are fitted with correct disclaimer and indemnity boards at all times, as per company policy.
  • Reporting and Analysis: Prepare and submit various reports to senior management, including expense budget variance analysis and other performance metrics.
