Job Title: Content and Programming Manager

We are seeking a highly skilled Content and Programming Manager to join our team at Oxyon People Solutions. As a key member of our conference team, you will be responsible for developing and executing engaging conference programs that meet the needs of our target audience.

Main Responsibilities:
  • Develop conference agendas and program schedules that incorporate a diverse range of topics, speakers, and formats.
  • Collaborate with internal teams, external partners, and industry experts to identify relevant and timely conference themes and content.
  • Conduct research and stay informed about industry trends, emerging technologies, and best practices to ensure conference content remains current and relevant.
  • Identify and recruit high-profile speakers, subject matter experts, and thought leaders to participate in conference sessions, panels, and keynote presentations.
  • Coordinate with speakers and presenters to ensure they are well-prepared and have the necessary materials and resources for their sessions.
  • Manage the production of conference materials, including program agendas, session descriptions, speaker bios, and presentation materials.
  • Oversee the logistics of conference programming, including room assignments, audiovisual requirements, and technical support.
  • Work closely with marketing and communications teams to promote conference content and engage attendees before, during, and after the event.
  • Collect feedback from attendees and stakeholders to evaluate the effectiveness of conference programming and identify areas for improvement.
Key Performance Indicators:
  • Conference Attendance: Number of attendees registered for the conference, percentage of target attendance achieved, and comparison of actual attendance to previous conferences or industry benchmarks.
  • Speaker Engagement: Percentage of confirmed speakers who participate in conference sessions, speaker satisfaction ratings based on post-conference evaluations, and speaker retention rate from one conference to the next.
  • Content Quality: Session ratings and feedback scores from attendees, percentage of sessions meeting or exceeding content quality standards, and review of session recordings or transcripts for relevance, accuracy, and engagement.
  • Program Execution: Timeliness of session planning and scheduling, adherence to program timelines and milestones, and evaluation of logistical and technical aspects of session delivery.
  • Attendee Engagement: Engagement metrics for promotional materials and marketing campaigns, attendee feedback on session topics, formats, and overall conference experience, and attendance and participation in networking opportunities, workshops, and interactive sessions.
  • Content Promotion: Effectiveness of promotional campaigns in driving registration and attendance, social media reach and engagement metrics, and website traffic and conversions attributed to conference-related content.
  • Continuous Improvement: Implementation of feedback-driven improvements from post-conference evaluations, introduction of innovative session formats or content delivery methods, and professional development achievements or certifications related to conference management and content development.
Requirements:
  • 2-3 years of conference producing experience is essential, preferably in the B2B environment.
  • Tertiary qualification or relevant university degree (Compulsory/non-negotiable).
Competencies:
  • Above average verbal and written communication skills.
  • Analytical attention to detail combined with some creativity.
  • Deadline driven with strong time management and multi-tasking skills.
  • Good interpersonal skills with the ability to influence and negotiate.
  • Ability to work independently as well as within a team.
Job Outline:
  • Content Development: Research and identify relevant topics, trends, and issues within the conference's industry or sector, develop compelling and innovative content ideas, themes, and session formats for conference agendas, collaborate with industry experts, speakers, and stakeholders to curate high-quality content that meets the needs and interests of the target audience, create detailed content briefs, outlines, and speaker guidelines for conference sessions.
  • Program Management: Plan, organize, and manage the overall conference program, including session schedules, timelines, and logistics, coordinate with speakers, moderators, and panelists to confirm participation, gather presentation materials, and ensure session readiness, liaise with vendors, suppliers, and internal teams to coordinate audiovisual, technical, and venue requirements for conference sessions, monitor and track program progress, making adjustments as necessary to ensure adherence to timelines and quality standards.
  • Speaker Management: Identify and recruit industry experts, thought leaders, and influencers to serve as speakers and presenters at conference sessions, cultivate relationships with speakers, providing guidance and support throughout the speaker selection and preparation process, communicate session details, expectations, and logistics to speakers, ensuring they are well-prepared and equipped for their presentations, manage speaker contracts, honorariums, and travel arrangements in accordance with budgetary guidelines.
  • Content Promotion: Develop and execute marketing and promotional strategies to generate interest and drive attendance for conference sessions, create compelling content assets, such as session descriptions, speaker profiles, and promotional materials, for use across various marketing channels, collaborate with the marketing team to leverage social media, email campaigns, website content, and other promotional tactics to maximize conference visibility and reach, monitor and analyze attendee feedback, session evaluations, and post-conference surveys to inform future content development and programming decisions.
  • Continuous Improvement: Stay informed about industry trends, best practices, and emerging technologies related to conference content development and programming, conduct post-conference debriefs and evaluations to assess program effectiveness, identify areas for improvement, and implement lessons learned in future conferences, actively participate in team meetings, brainstorming sessions, and professional development opportunities to contribute ideas and enhance skills related to conference content and programming.
Reporting:
  • Provide the Event Director with weekly report detailing personal activities and forecast.
  • Data capture of sales activities/calls and updating the CRM.
  • Completion of sales progress reporting on a weekly, monthly, and quarterly basis to enable Senior management to be updated on the progress of the events.
  • Provide the marketing team with market intelligence to assist with campaigns.
  • Continually monitor and research the market using online resources, gaining customer feedback, attending and industry networking where appropriate.
  • Effective communication with other internal departments including operations, marketing, finance to maximize client experience.
