Front Line Customer Service Representative

We are seeking a highly organized and detail-oriented Front Line Receptionist to join our team at Time Personnel. As a key member of our administrative staff, you will be responsible for providing exceptional customer service to our clients and tenants, while also ensuring the smooth operation of our office.
Key Responsibilities- Customer Service: Greet and welcome visitors, clients, and tenants in a courteous and professional manner, providing assistance and support as needed.
- Administrative Support: Manage incoming phone calls, emails, and messages, ensuring timely and accurate responses. Perform general administrative tasks such as filing, data entry, and document preparation.
- Scheduling and Coordination: Assist in scheduling appointments and meetings for management and staff, as well as coordinate with maintenance and repair teams to address property issues.
- Record Keeping: Maintain accurate records of tenant interactions and service requests, as well as update and maintain purchaser and leads databases.
- Office Maintenance: Ensure the reception area and meeting rooms are organized, and maintain and update office supplies inventory, ordering replenishments as needed.
- Education: Matric, relevant qualification advantageous.
- Experience: Previous experience as a receptionist or in a customer-facing role preferred, especially in property management or real estate.
- Skills: Excellent communication and interpersonal skills, strong organizational and multitasking abilities, proficiency in Microsoft Office Suite, and ability to handle sensitive information with discretion.
The role is based in an office setting, with standard office hours. Occasional overtime or additional hours may be required based on business needs.
