Job Description

This role will be responsible for providing administrative support to the Customer Services team, ensuring seamless day-to-day operations and delivering exceptional customer service. The successful candidate will have excellent communication and organizational skills, with the ability to multitask and prioritize tasks effectively.

Key Responsibilities:
  • Provide administrative support to the Customer Services team, including managing the switchboard, front desk, and stationery requirements;
  • Manage office stock, place orders, and ensure adequate stock levels are maintained;
  • Capture orders accurately into Macola, reconcile EPS, Surgitrack, and Orderwise orders, and check stock levels regularly;
  • Prepare monthly reports, handle customer enquiries, and review orders for accuracy;
  • Communicate ETA for backorders to customers, prepare weekly Backorder reports, and review backorders daily for release;
  • Submit Bill & Sends to Jhb before 3pm each day, record in the Bill & Sends register, and review on a daily basis;
  • Complete quotations within 48 hours, follow up on outstanding quotations, and submit Pro Forma Invoices to COD and Export customers;
  • Identify problem areas for couriers, escalate issues to Supervisors, and follow up on delivery queries;
  • Obtain approval for goods to be returned, notify the Receiving team, and review the weekly Goods Returned log;
  • Maintain health and safety principles, manage stock of hairnets and dustcoats, and report Health & Safety incidents timeously;
  • Ensure product quality and safety throughout the order process, monitor expiry dates, and document NCAs and ARs where relevant.
Requirements:

To succeed in this role, you will need:

  • A minimum of 5 years' experience in a similar administrative support role;
  • Excellent communication, organizational, and interpersonal skills;
  • PC skills, including Microsoft Word, Excel, and Outlook;
  • Ability to work accurately and efficiently under pressure;
  • High level of attention to detail and ability to multitask.
