Job Title: Passenger Vehicle Sales Administrator

We are seeking an experienced Passenger Vehicle Sales Administrator to join our team at Select Motor Recruitment. The successful candidate will be responsible for performing all sales administrative related duties in a diligent manner.

Key Responsibilities:
  • Deal File: Electronic System
    • Upload stacking documents to ensure documents are loaded in each deal file
    • Audit deal files to ensure they contain all required documents relevant to cash or financed deals
    • Verify deal files and ensure they are signed by all relevant parties
    • Ensure deal files are completed by the 7th of the new month
  • Key Control
    • Ensure vehicle keys are properly tagged
    • Maintain a register for key control
    • Report to management any non-adherence to key control procedures by sales executives
    • Natis control
    • Permit control
    • Check in new vehicles from VDS, ensuring damages and missing items are claimed timeously
    • Send emails to SASA if vehicles are delivered with missing items
    • Vehicle movement – maintain a register and ensure it is up to date when moving vehicles between dealerships and suppliers
  • Stock Counts
    • Conduct weekly vehicle stock takes every Monday by 09h00
    • Conduct monthly vehicle stock takes on the 1st working day of each month
    • Ensure stock counts are conducted by scanning bar codes and/or picture of licence disks to CMS application
    • Load all supporting documents for the stock takes
    • Ensure vehicle movement sheets and loan forms are loaded to system for management to check at any point in time
Requirements:
  • Grade 12
  • Administration related experience
  • 2-3 year's current experience in the role of Sales Administrator, within a dealership environment
  • Good understanding of Sales and Administrative duties
  • Good communication skills
  • Motor Industry experience is essential
