A leading pharmaceutical and medical company, Ashton Personnel, is seeking an experienced and highly skilled professional to provide administrative support to their Head of Commercial Hospital Sales. Key Responsibilities
  1. Provide administrative support to the Head of Commercial Sales, ensuring seamless day-to-day operations and contributing to the achievement of business objectives.
  2. Manage the calendar, scheduling appointments, meetings, and travel arrangements with precision and efficiency.
  3. Prepare and coordinate presentations, reports, and other documents as required, utilizing strong organizational and communication skills.
  4. Handle confidential and sensitive information with discretion and professionalism, upholding the highest standards of integrity and confidentiality.
  5. Develop and maintain effective filing systems, both physical and digital, to ensure easy access to critical information.
  6. Coordinate meetings, events, and conferences, ensuring all logistical arrangements are in place and exceeding expectations.
  7. Liaise with internal stakeholders, including the executive team, department heads, and employees, fostering strong relationships and facilitating smooth communication.
  8. Communicate effectively with external stakeholders, including clients, suppliers, and partners, representing the organization with professionalism and poise.
  9. Provide support to the sales team as required, including preparing expense reports and maintaining personnel records, demonstrating adaptability and a willingness to assist.
Requirements
  1. 5+ years of experience as PA or Office Manager, preferably in the pharmaceutical or medical device industry.
  2. Proficient in MS Office, including Word, Excel, PowerPoint, and Outlook.
  3. Excellent organizational, communication, and interpersonal skills, with the ability to multitask, prioritize tasks, and work under pressure.
  4. Strong attention to detail and ability to maintain confidentiality, with a proven track record of handling sensitive information.
  5. Experience with finance and HR functions will be an advantage, showcasing a broad range of skills and expertise.
  6. Strong problem-solving and analytical skills, with the ability to think critically and approach challenges with creativity.
  7. Ability to work independently and as part of a team, demonstrating flexibility and a willingness to collaborate.
