Job Overview

We are seeking an experienced and highly skilled Executive Assistant to join our team at Thusa Batho Labour Solutions.

This role is responsible for providing exceptional administrative support to the CEO, ensuring the smooth operation of the Office of the CEO, and driving the organization's corporate governance and compliance efforts.

Key Responsibilities
  1. Strategic Performance:
  • Provide strategic planning advisory services and support to the CEO, focusing on corporate strategy development and implementation.
  • Ensure governance structures are supported and properly governed, with a focus on risk management and compliance.
  • Coordinate weekly, monthly, quarterly, and annual reporting responsibilities to the office of the CEO and the Board, utilizing business intelligence tools to track performance metrics.
  • Project manage CEO's strategic initiatives and deliverables as aligned with the annual plans, using project management methodologies to ensure timely completion.
  • Ensure presentations from the office of the CEO are at a strategic level and in accordance with the appropriate standards, utilizing data visualization techniques to communicate complex information effectively.
  • Effectively communicate the strategic objectives with Executive management, stakeholders, and other relevant parties, ensuring alignment and buy-in.
  • Ensure that policy or strategy decisions are communicated to the organization, through regular updates and reports.
  • Provide support to the CEO regarding matters from the Department of Agriculture, Parliament, and other key stakeholders, leveraging relationships and influencing skills to achieve desired outcomes.
  • Ensure risk management processes are clearly identified, documented, and executed to support the strategy, utilizing risk assessment tools and techniques to identify potential threats and opportunities.
Business Performance:
  • Coordinate the business performance, monitoring, and reporting, utilizing business analytics tools to track key performance indicators (KPIs) and make data-driven decisions.
  • Oversee the development of short, medium, and long-term plans and strategies for the organization in alignment with government objectives, utilizing market research and industry trends to inform decision-making.
  • Assist the CEO in tracking organization's performance, including business and financial performance, governance, and strategic risk matters that may impact the organization, using benchmarking and best practices to identify areas for improvement.
  • Compile reports on the organization's performance and communicate these to the business and other identified stakeholders, using clear and concise language to convey complex information.
  • Tracking the performance of the organization against Board-approved strategy, APP, and business plan, utilizing dashboard reports and scorecards to monitor progress.
  • Manage and quality control the organization's reporting dashboard ensuring that it is updated accurately against the KPIs, using data visualization tools to communicate results effectively.
  • Assist to embed a strong achievement culture through performance management, utilizing coaching and mentoring skills to develop staff capabilities.
Corporate Governance and Compliance:
  • Ensuring review and alignment of organization's policies and procedures to applicable legislations and regulations, utilizing compliance frameworks and auditing techniques to ensure adherence.
  • Provide administrative and secretariat support to Management, Executives, and Board, using organizational systems and processes to facilitate communication and collaboration.
  • Develop knowledge management systems, inclusive of digitization of governance-related documents and information, using document management software to store and retrieve critical information.
  • Ensure quality reports are submitted to the Board, using report writing skills to present findings and recommendations clearly and concisely.
  • Ensure efficient and effective reporting across multiple levels in the organization Department monthly reports, quarterly management reports, Board preparations, document preparation for reporting purposes, using reporting templates and frameworks to ensure consistency and clarity.
  • Ensure Board resolutions are followed through and implemented timeously, utilizing project management methodologies to ensure timely completion.
  • Assist the office of the CEO to ensure that the Internal Audit function is effective and supports the Board Committees, using audit techniques and evaluation methods to assess effectiveness.
  • Monitor and perform forensic investigations for internal matters, utilizing investigative techniques and interviewing skills to gather information and evidence.
  • Provide assistance to manage and conclude legal and labour matters, using negotiation and conflict resolution skills to resolve disputes and issues.
Stakeholder and Communications Management:
  • Interface with the CEO's direct reports to understand the operating environment and assess to prioritize focus areas, utilizing stakeholder mapping and analysis to identify key influencers and decision-makers.
  • Review and update stakeholders and communication strategies of the business, using communication theory and models to inform decision-making.
  • Facilitate the CEO's communication with the internal and external stakeholders, using facilitation techniques and meeting management skills to ensure effective communication and collaboration.
  • Build and maintain solid partnerships with assigned internal and external stakeholders to better develop, coordinate, direct, and facilitate strategic communications designed to meet business goals, utilizing relationship-building skills and networking techniques to establish and maintain connections.
  • Researches and understands key business challenges, stakeholder behaviors, target audiences, competitive activity, and environmental factors that impact business operations, using research methodologies and tools to gather information and insights.
  • Communicates directly, and on behalf of the CEO, with stakeholders, on matters related to CEO's programmatic initiatives, using communication theory and models to inform message development and delivery.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO, using project management methodologies and leadership skills to achieve desired outcomes.
