Required Experience:

  • Up to 2 years in a comparable position

Key Responsibilities:

This role primarily involves supporting the daily administrative and operational functions, which may include:

  • Overseeing daily administrative tasks related to our project and resource management system, such as:
    • Monitoring timesheet submissions to ensure timely reporting and following up with team members as necessary
    • Conducting monthly holiday reconciliations and managing outstanding leave balances
    • Reviewing project and internal time entries weekly to ensure accuracy and rectify any discrepancies
  • Collaborating with Operations Principals to manage Employee Share Purchase and Options plans, including:
    • Facilitating quarterly and annual enrollments
    • Updating our share management platform with new grant and leaver files
    • Preparing for annual share vesting events in coordination with the finance team
    • Supporting the Options exercise process and generating monthly payroll reports
    • Addressing employee inquiries regarding the share management platform
  • Assisting with payroll administration tasks, including the upload of monthly pension contributions
  • Serving as the primary contact for the Consulting team on all operational administrative issues
  • Collaborating with the Legal team to refresh policies and implement them across the organization
  • Partnering with the Office Manager to foster a welcoming office environment for staff and visitors
  • Supporting contract administration and management, including renewals and supplier consolidation across the organization
  • Engaging in various other administrative and operational responsibilities as needed
