Inbound Planning Administrator

This role is responsible for overseeing the inbound shipments of pharmaceutical products, ensuring accurate scheduling and optimising efficiency in receiving operations.
Key Responsibilities:- Team Management: Lead and mentor a team of booking clerks, schedule and allocate tasks to ensure efficient operations and adherence to deadlines, conduct training and development sessions to enhance team skills and performance.
- Inbound Shipments Coordination: Ensure scheduling and coordination of the receipt of pharmaceutical products from suppliers, ensuring alignment with inventory needs and operational capacity.
- Supplier Communication: Regularly communicate with suppliers to confirm shipment details, resolve discrepancies, and ensure timely delivery of products.
- Receiving Operations Optimisation: Work closely with warehouse personnel to optimise receiving processes, minimise delays, and ensure efficient handling of incoming shipments.
- Documentation Management: Ensure accurate documentation of inbound shipments, including bills of lading, packing slips, and other relevant paperwork, in compliance with regulatory requirements.
- Inventory Level Monitoring: Collaborate with inventory management team to monitor inventory levels and anticipate future demand, adjusting inbound schedules as necessary to maintain optimal stock levels.
- Issue Resolution: Proactively identify and address issues related to inbound shipments, such as delays, shortages, or damaged goods, working with suppliers and internal stakeholders to find solutions.
- Compliance Maintenance: Adhere to all regulatory requirements and company policies related to inbound logistics, including safety regulations, quality standards, and Good Distribution Practices (GDP).
- Bachelor's degree in Supply Chain Management, Logistics, or related field.
- 1-3 years buying administration experience with inbound logistics, scheduling, or supply chain coordination, preferably in the pharmaceutical or healthcare industry.
- Experience in high volume FMCG/Wholesale environment.
- Strong organisational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with suppliers, internal teams, and other stakeholders.
- Proficiency in Microsoft Office applications and logistics management software.
- Knowledge of regulatory requirements and industry standards for pharmaceutical distribution preferred.
- Ability to lead a team.
