Job Overview

This role is responsible for overseeing the inbound shipments of pharmaceutical products, ensuring accurate scheduling and optimising efficiency in receiving operations.

Key Responsibilities:
  1. Team Management: Lead and mentor a team of booking clerks, schedule and allocate tasks to ensure efficient operations and adherence to deadlines, conduct training and development sessions to enhance team skills and performance.
  2. Inbound Shipments Coordination: Ensure scheduling and coordination of the receipt of pharmaceutical products from suppliers, ensuring alignment with inventory needs and operational capacity.
  3. Supplier Communication: Regularly communicate with suppliers to confirm shipment details, resolve discrepancies, and ensure timely delivery of products.
  4. Receiving Operations Optimisation: Work closely with warehouse personnel to optimise receiving processes, minimise delays, and ensure efficient handling of incoming shipments.
  5. Documentation Management: Ensure accurate documentation of inbound shipments, including bills of lading, packing slips, and other relevant paperwork, in compliance with regulatory requirements.
  6. Inventory Level Monitoring: Collaborate with inventory management team to monitor inventory levels and anticipate future demand, adjusting inbound schedules as necessary to maintain optimal stock levels.
  7. Issue Resolution: Proactively identify and address issues related to inbound shipments, such as delays, shortages, or damaged goods, working with suppliers and internal stakeholders to find solutions.
  8. Compliance Maintenance: Adhere to all regulatory requirements and company policies related to inbound logistics, including safety regulations, quality standards, and Good Distribution Practices (GDP).
Requirements
  • Bachelor's degree in Supply Chain Management, Logistics, or related field.
  • 1-3 years buying administration experience with inbound logistics, scheduling, or supply chain coordination, preferably in the pharmaceutical or healthcare industry.
  • Experience in high volume FMCG/Wholesale environment.
  • Strong organisational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with suppliers, internal teams, and other stakeholders.
  • Proficiency in Microsoft Office applications and logistics management software.
  • Knowledge of regulatory requirements and industry standards for pharmaceutical distribution preferred.
  • Ability to lead a team.
