Sales Support and Administrative Duties

We are seeking a highly organized and detail-oriented Sales Support and Administrative Assistant to join our team at Michelle Taylor Recruitment. As a key member of our sales team, you will provide administrative support to the Technical Sales Director and assist in the preparation of sales proposals, contracts, and presentations.

Key Responsibilities:

  • Assist in the preparation of sales proposals, contracts, and presentations.
  • Maintain accurate sales records and generate regular reports for management via company CRM.
  • Coordinate with the sales team to manage customer accounts and inquiries.
  • Handle customer inquiries, resolve complaints, and provide product information.
  • Build and maintain positive relationships with customers.
  • Ensure prompt follow-up on customer requests and feedback.
  • Schedule meetings, manage calendars, and organize travel arrangements for the Technical Sales Director.
  • Ensure the smooth running of day-to-day office operations, including filing, data entry, and managing correspondence.
  • Assist in organizing promotional materials and supporting marketing efforts.
  • Manage orders from receipt to delivery, coordinating with warehouse and logistics teams.
  • Ensure timely and accurate processing of orders and maintain inventory levels with Warehouse teams.
  • Monitor and track delivery schedules to meet customer expectations.
  • Assist the Technical Sales Director with technical documentation, product specifications, and project management.
  • Develop and maintain a thorough understanding of waterproofing/market related products and solutions.
  • Provide technical information and support to customers as needed.

Requirements:

  • Matric & certificate / Diploma in Business Administration or Sales, Marketing, or a related field is preferred.
  • Minimum of 2-3 years of experience in a sales support or administrative role, preferably within the construction or waterproofing industry.
  • Proven track record of handling customer service and administrative tasks efficiently.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in CRM systems, Microsoft Office Suite (Excel, Word, Project Planer and Powerpoint), and other relevant software tools.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Attention to detail and a proactive approach to problem-solving.
  • Familiarity with technical documentation and product specifications in the waterproofing industry is a plus.
