Job Title: Facilities Co-Ordinator

The role of the Facilities Co-Ordinator is a critical position that encompasses various responsibilities, including technical and financial management. This role involves overseeing maintenance services, managing service delivery, handling reporting, addressing risk management, and managing both soft and hard services, as well as health and safety concerns.

Key Responsibilities:
  • Conduct daily and weekly inspections to identify and report deviations in a timely manner.
  • Ensure assigned equipment is in proper working order and available for use.
  • Ensure all safety protocols and procedures are followed at all times.
  • Monitor and inspect facilities to ensure compliance with safety and building codes.
  • Maintain physical space, ensuring a safe, clean, and functional environment.
  • Receive, manage, and process work order requests; ensure problems are resolved quickly.
  • Manage outside contractors as needed to resolve specialized problems.
  • Ensure preventive maintenance schedules for buildings and equipment are actioned.
  • Ensure safety standards are followed throughout the facility.
  • Participate in emergency preparedness planning.
  • Maintain inventory of supplies; reorder as needed.
Customer Experience:
  • Visit tenants within the portfolio to establish and maintain mutually beneficial relationships.
  • Be available by cellphone after hours in case of emergencies.
  • Communicate with tenants to ensure day-to-day satisfaction.
Reporting and Risk Management:
  • Prepare and supply accurate daily, weekly, and monthly reports as required for management reporting.
  • Ensure compliance with relevant Acts.
  • Proactively control, manage, and govern processes and systems to ensure compliance and minimize business risk.
Self-Development:
  • Identify training and development needs and select effective solutions to address development gaps.
  • Develop and implement a personal development plan.
