Property Administration Coordinator

E2E Staffing (PTY) LTD is seeking an experienced Property Administration Clerk to provide support and assistance to the Property Administration Team in all aspects of day-to-day admin of the rental portfolio.
Job Description:This entry-level position involves responsibility for a portfolio of buildings, encompassing full functions from lease onboarding to reconciling cash books.
Key Responsibilities:- Leasing Administration
- Maintain tenant files to ensure accurate leasing administration, billing, and timely processing of receipts/refunds.
- Allocate tenant receipts, investigate un-allocated receipts, and clear against tenant accounts.
- Process corrections of misallocations and unidentified receipts daily.
- Issue invoices/statements timeously and maintain accurate rental and accruals.
- Approve pre-billing reports for accuracy and approval for the next rent roll.
- Manage ad-hoc invoicing and process refunds when required.
- Customer Liaison
- Proactively manage tenant collections and deliver excellent customer service.
- Maintain good relationships with tenants, collecting monthly rental due, and reconciling accounts.
- Follow up daily, weekly, and monthly to ensure debtors adhere to payment terms.
- Resolve queries on outstanding balances and other issues with team leaders.
- Diarize payment arrangements for outstanding balances and follow up telephonically.
- Engage with tenants, creating professional relationships through structured communication and meetings.
- Handle tenant queries/complaints, ensuring customer service SLAs are met.
- Effectively manage relationships to ensure accounts are paid on time.
- Accounts Payable Administration
- Reconcile processed work by verifying entries and comparing system reports to balances.
- Record account expenses by cost centre and invoice details.
- Maintain accounts by verifying and posting transactions.
- Perform full cashbook function, including:
- Reconciliations between bank and ledger balances.
- Review cashbook to ensure no duplicated items.
- Clear reconciling items.
- Grade 12 qualification
- Diploma in Accounting/Finance advantageous
- 2-3 years' experience in a similar role
- Intermediate Excel skills
- Property experience advantageous
- Collections experience advantageous
- SAGE experience advantageous
- Ability to work as part of a team
