About the Role: We are seeking an experienced Recruitment Administrator to join our People & Culture team at The Legends Agency.

Job Summary: As a key member of our recruitment team, you will be responsible for supporting the coordination and management of all vacancies, ensuring seamless communication with agencies, candidates, and internal stakeholders.

Key Responsibilities:

  • Manage the daily updating of HR trackers and systems, including filing of all HR-related documentation.
  • Take lead responsibility for preparing and placing role descriptions on our website and associated advertising platforms.
  • Liaise heavily with agencies as the main contact point in coordinating all vacancies, providing accurate information promptly.
  • Assess all applications through screening and arrange calls and interviews, logging all applicants within a recruitment tracker for ongoing review and data analysis.
  • Monitor and manage the dedicated People inbox, dealing with initial candidate and staff queries, and delegating out to the appropriate team member as necessary.
  • Work alongside colleagues throughout the entire search, selection, and placement process, assisting with all aspects of candidate care, from application through to feedback stage.
  • Prepare standard offer letters and employment contracts, ensuring timely and professional communication with new hires.
  • Support the onboarding experience for new starters by making welcome calls, scheduling induction sessions, and being available for any questions.

Requirements:

  • Good general standard of education (ideally educated to a B-Tech or similar).
  • Demonstrable customer and colleague support experience in a similarly focused environment.
  • A minimum of 6 months experience within a corporate office-based environment working to deadlines.
  • Good working knowledge of MS Office and, ideally, HRIS.
  • An appreciation of the utmost importance assigned to confidentiality and data security in a business such as ours.

  • Strong interpersonal skills, including the ability to build relationships, respect confidentiality, and professionally engage a wide range of staff, including those at a senior level.
  • Keeps sensitive data confidential, aware of GDPR guidelines and principles, and maintains employee confidentiality throughout business processes.
  • Resourceful and able to find creative solutions, thinking beyond current systems and approaches, while recognising the impact of decisions and actions on the organisation.
  • Tenacious in getting projects completed to deadline, planning and prioritising work in line with individual and team deliverables; resilient in the face of pressure.
  • Flexible and adaptable to last-minute changes, adjusting plans accordingly.
  • High level of accuracy and attention to detail.
  • Self-motivated; enjoys what they do and achieving goals.

  • Keeps internal clients up-to-date on progress and changes that affect them.
  • Ability to pick up new technology and processes quickly.

What We Offer: A competitive salary of approximately £28,000 - £32,000 per annum, depending on experience, plus benefits, opportunities for career growth, and a dynamic work environment.
