Main Responsibilities
  1. Engage with visitors in a friendly and professional manner, creating a positive first impression.
  2. Screen and direct incoming calls promptly and professionally, taking messages when necessary.
  3. Support administrative tasks such as data entry, filing, and document preparation across different departments.
  4. Process and respond to incoming communications, including emails, letters, and deliveries.
  5. Coordinate outgoing mail and courier services efficiently.
  6. Arrange meeting rooms, ensuring they are clean and ready for use.
  7. Source and order office supplies to maintain operational efficiency.
  8. Maintain a clean, organized, and presentable reception area.
  9. Offer flexible support to various departments, as needed.
Necessary Qualifications
  1. Degree or diploma equivalent to Grade 12; certification in administration or customer service is beneficial.
  2. At least 3 years of experience in a receptionist or administrative role, preferably in a multi-company setting.
  3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with switchboard systems and office equipment is advantageous.
  4. Excellent verbal and written communication skills with a professional telephone manner.
  5. Able to multitask, prioritize, and maintain efficiency in a dynamic work environment.
  6. Friendly, approachable, and able to interact with a diverse group of people.
  7. Able to handle confidential information discreetly and professionally.
