**Legal and Compliance Administrative Assistant**

**Position Overview**:
This role will primarily focus on providing admin assistance to the Legal and Compliance teams with data cleansing/input and data analysis projects, supporting with process automation, managing team inboxes, providing compliance screening support and record keeping including supplier matrix and other team trackers.
**Responsibilities**:
- Providing timely assistance to the Legal and Compliance teams with tracking progress of any team requests.
- As directed, support the Legal team with the maintenance of the legal tracker.
- Legal and Compliance team calendar/diary management including liaising with relevant parties to up and re-arrange meetings.
- Assist Legal team with issuing approved contracts and documentation for signature via AdobeSign, track progress and where necessary chase completion.
- Assist Legal team with filing of contracts and documents so accurate company records are maintained.
- Assist Contracts Manager with World-Check compliance screening and other ad-hoc tasks as required.
- Assist Contracts Manager with Supplier Management including: maintaining the Supplier Matrix, New Supplier Evaluation, Existing Supplier re-evaluation, updating supplier data on Supplier Hub, maintaining up to date supplier documentation such as Contracts, Insurances, ISO Certifications etc.
- Ensure all compliance documentation is disseminated for Legal/Compliance review before onboarding.
- Assist Legal and Compliance team with publication of periodic Legal and Compliance Newsletters.
- As required assist with team projects including creating progress reports, data analysis projects, and other associated admin tasks.
- As directed assist with novation correspondence, progress tracking, other related tasks.
- Assist Compliance team with co-ordination of internal resource to support external audits (either client or ISO).
- Flag any areas for improvement relating to the Legal and Compliance current working processes that will improve efficiencies and process automation.
- Draft NDA on our templates for clients and suppliers, on approval upload to AdobeSign and monitor the progress until signed.
- Process comparisons of client and supplier contracts prior to issue for signature.
- Other adhoc admin duties as directed by the team.
**Qualifications, Qualities & Experience**:
- Minimum of 2 years’ experience working in a similar admin/data analysis role
- Experience of the Microsoft Office 365 Suite including MS Word, Excel, PowerPoint and SharePoint, Outlook & Teams (list not exhaustive)
- Excellent communications skills both written and verbal
- Excellent attention to detail
- High degree of organisation, task planning and time management
- Excellent data entry and analysis skills, ability to work across multiple data sources
- Proven record maintenance experience
- Proactive and responsive to changing business needs in a busy work environment
- Good IT skills and an interest in legal & compliance technology desired but not essential
