Provide administrative support to the Product and Design team for the daily operational function of the department.
**Duties & Responsibilities**
- Prepare quotations and job cards for daily work, rework, warranty repairs, or after fitments for supplier and customers.
- Assist suppliers and customers with general enquiries regarding services, invoices, complaints etc.
- Co-ordinate supplier and customer accounts, quotations, purchase orders, queries and any process flow for the PSU Dept. Resolve problems pertaining to customer and client orders.
- Receive and create purchase orders, research the responsible department, forward order accordingly, and follow up as necessary.
- Invoice clients for service delivery, follow up on payments and attending to all invoice related queries or disputes.
- Monthly EFT for the PSU Department on all required systems for suppliers and customers.
- Assist with follow ups on new vendors and suppliers.
- Prepare management reports and ensuring the data distribution are accurate.
- Prepare and track invoices; reports and purchasing requests for suppliers and customers.
- Order manufacturing parts and data packs.
- Quotations on bought out parts and tools.
- Co-ordinate all warranty related queries.
- Co-ordinate all Afrit approved contractors across South-Africa.
- Develop and/or maintain databases, distribution lists, mailing lists and filing systems.
- Maintain attendance of PSU Dept. on payroll information by collating, calculating and submitting data to payroll department on weekly and monthly basis.
- Assist with all queries and assistance within the PSU Centre.
- Perform various general administrative functions, including monitoring vehicle license expire dates, courier arrangements, accommodation bookings, filing etc.
- Ordering of PPE, stationery and consumables when applicable.
- Ad-hoc task as required by Manager.
- Report draws, data and information for management and render support to line managers.
- Reports for shutdown regarding Afrit payroll deductions from employee’s leave & bonus.
- Assist OHS and external auditors with required information
- Ad hoc tasks as required from Supervisor or HRM
- Credit card reconciliations.
- Manage the Customer Complaint database
- Manage the Immediate Fix programs
**Desired Experience & Qualification**
- Matric (Essential)
- Computer literacy: MS Outlook, Office Word, Excel.
- 1+ Year Administrative Experience
- Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc.
- Familiarity with basic office administration and basic accounting principles.
- Syspro or similar ERP software (Ideally)
