Property Manager: Sectional Title

The purpose of the role is to manage the property portfolio to maximize the income and tenant retention and manage the expenses. Managing tenants, units, collections, vacancies, onboarding, and clearances.
**Provide support to the leasing process.**
1. Reduce the number of vacant units.
2. Ensure adherence to company quality standards.
3. Facilitate and provide support in finalising the renewals within the portfolio.
**Maintaining of Unit Standards.**
1. Visit all vacant units within 7 days of vacate.
2. Complete and sign off unit inspection forms.
3. Log jobs on repairs and maintenance system.
4. Manage and monitor the job report accurately and timeously.
5. Ensure that all clearances are completed and returned within 7 days of the vacate date.
6. Ensure that all vacant units are in a lettable condition according to company standards.
7. Regularly visit the units to identify possible upgrades and provide the motivation thereof.
8. Relocate tenants to more suitable premises if required.
9. Approve quotations within a reasonable time and within Schedule of Delegated Authority.
10. Raise any building issues with the Sectional Title Manager timeously.
11. Visit all units on a 6-month ad-hoc rotation.
**Management of financial elements. **1. Provide input and manage the annual budget timeously and accurately.
2. Report monthly on variances, accurately and in time.
3. Review of arrears reports and provide support to the credit control team.
4. Address utility queries raised by tenants.
5. Provide input and manage the budget expenses in the committed time frames.
**Ensure that all administrative functions are done timeously and accurately.**
1. Ensure that leases drafted are accurate.
2. Ensure that correspondence is sent to Filing for recordkeeping.
3. Complete the monthly letting report.
4. Review the number of monthly leases and increase the rentals or facilitate a fixed term contract for those tenants.
5. Update the lease and/or tenancy schedule.
6. Meet with tenants and facilitate the signing of the lease agreement.
7. Follow up on outstanding leases.
8. Sign invoices for accuracy (code allocation) and reasonability (pricing) and within Schedule of Delegated Authority.
**Customer service**
1. Portray a polite and professional attitude towards all stakeholders.
2. Responding to customer queries within prescribed time frame.
3. Attend to customer care cases (CRM).
4. Facilitate formal meetings with tenants per year to increase the interaction and build the relationship.
5. Build and maintain working relationships with colleagues and service providers.
6. Build and maintain strong relationships with tenants.
7. Ensure ad hoc inspections are done on a 6 monthly basis.
8. Prioritise CRM queries
**Working conditions**:
Office Based.
Drivers' License and own vehicle required
Regular travelling required.
Availability after hours required
**Qualifications & Experience**:
1. 3 Year business/property (e.g., BSC Property Studies) related degree.
2. PPRA Competency Certificate (NQF Level 4).
3. 3 Years residential property management experience.
4. Code 08 Driver’s license.
**Skills & Knowledge Required**:
1. Lease and retention negotiation skills.
2. Basic knowledge of credit control principles.
3. Conflict management skills.
4. Financial acumen.
5. Time management skills.
6. Interpretation of information on competitive rentals, and new developments
7. Knowledge of MDA - Preferred
8. POPI Act
9. Knowledge of sectional Title Property Management Act
10. Ethical business practices
