Administrative Support Assistant

**The company**
PropCom is an owner-managed company, with a ten-year track record in property management in Linden, Johannesburg. We focus on customised and personal service to our clients, who are mostly local small body corporates and homeowners’ associations.
**The position**
This is a desk-based, full-time position (Monday to Friday, 09:00 to 17:00). Initially, you’ll work onsite. In time, you may migrate to working from home if conditions are suitable. You must be based in Johannesburg.
**Job description**
As our admin support assistant, you’ll help your colleagues offer efficient service to our clients and assist the director so that he can focus on high-level management tasks. As the first point of contact for clients and service providers, you’ll need to be an excellent organiser and communicator.
**Your responsibilities**:
- Answering incoming phone calls and resolving queries or forwarding them to the relevant colleague
- Scheduling and coordinating routine tasks (ensuring monthly and annual reports and statements are issued on time)
- Scheduling routine annual general meetings and coordinating or preparing the necessary documentation within the legislated timeline (financial statements, notice of meeting, agenda, proxy form, trustee nomination form)
- Scheduling ad hoc meetings (special general meetings, trustees meetings) and preparing any necessary documentation
- Drafting minutes of meetings and ensuring they are signed off within the legislated timeline
- Drafting correspondence with clients and service providers
- Drafting body corporate rules of conduct and guidelines based on templates and relevant legislation
- Filing documents electronically as requested
- Capturing data
- Learning sectional title legislation and regulations
**Qualifications and skills**
Essential:
- Matric certificate (a post-matric qualification would be an advantage)
- Strong command of English, particularly written proficiency
- Experience working with the Office 365 suite (Word, Excel, SharePoint, Teams)
- Good typing skills
- Methodical and organised, with strong attention to detail and accuracy
- Customer-focused mindset
- Excellent time-management and problem-solving abilities
Beneficial:
- Experience in property management/sectional title
- Experience working with CRM software
**Assessment**
