**PURPOSE OF THE JOB**:
Senwes Equipment is looking Senior Admin Clerk will be responsible for the effective and accurate administration of the Parts, Whole Goods, and Workshop departments at our branch, ensuring the smooth and efficient operation of each department.
**DUTIES AND RESPONSIBILITIES OF THE JOB**
**Receiving Process Administration**:
- Receive ordered stock from vendors/third parties and ensure the quantity and quality match the delivery notes.
- Report any discrepancies or damages on the waybill following internal procedures.
- Verify, stamp, and sign delivery notes and link invoices with orders.
- Manage stock distribution to the sales department and ensure accurate system information.
- Create claims for shortages and follow up on outstanding claims and orders.
**Reporting Function**:
- Daily, Weekly, and Monthly report generation (e.g., credit notes, purchase orders, shipping documents, stock reports).
- Reconcile courier invoices and create orders for payments.
- Follow up on outstanding documents and file completed reports for management authorization.
**General Administration**:
- Assist with quarterly stock-taking and reconcile stock count sheets.
- Order office stationery and manage interdepartmental purchases.
- Capture employee transactions on the intranet and manage trip sheets and vehicle documentation.
**Handle Queries**:
- Resolve vendor-related issues, including returns and invoice variances.
- Handle general queries from customers and internal staff, ensuring prompt and effective solutions.
**Stock Distribution Assistance**
- Assist with preparing packages for pickup, completing waybills, and following up on interbranch transfers.
- National Senior Certificate
- At least 5 year relevant experience
- Proficient in Equip System, SAP, JD Warranty Systems Claims, and basic financial principles.
- Competent in MS Office.
- Excellent planning and organizing skills.
- Strong administrative skills, assertiveness, and attention to detail.
- Interpersonal, stress management, and conflict management skills.
