Recruitment and Selection

Recruitment of staff in accordance with the organisations policies and procedures and the relevant legislation

Assist line managers with staff requisition in line with the org structure, job grades, processes and approvals.

Preparation of competency based questions and technical questions and align with the hiringManager of the position.

Participate in the interviews and further prepare the recommendations of the outcome of the interview with the hiring manager.

Conduct reference and background checks through the MIE system for all potential employees

Schedule and arrange for new employees to attend the Medicals, EHS and Food Safety Induction

Prepare the salary approvals and dummy payslips for approvals

Prepare the offer of employment and contracts of employment for approval

Prepare and arrange an induction process for new employees

Prepare the announcements of new employees, promotions and transfers on a monthly basis, 5 days before the beginning of the month.

Conduct exit interviews for all employees leaving the organisation

Employee Relations

Minute taking of Union meetings 3 days after each meeting for quality checking circulation.

Timeous resolution of disciplinary (15 days TAT), grievance hearings (3 days TAT) and Appeal hearings (5 days TAT)

Assisting in preparation of initiators, witnesses and chairpersons including relevant paperwork in disciplinary and grievance hearings.

Assisting with preparation of witnesses, including complete and accurate evidence for use during disputes at the CCMA.

Alert payroll on potential dismissals timeously and/or immediately receiving notification from the Manager.

Provide sound advice and/or resolve to avoid disputes on critical business matters.

Prepare and Conduct the conciliation at the CCMA

Assist the HRBP in preparation of the conciliation and arbitration at the CCMA

Payroll Processing

Submission of new employee’s documents, promotion and transfer letters to payroll for processing.

Submission of terminations to payroll for processing

Inform payroll timeously on all changes and movements that are employee related

Administration

Maintaining records of personnel-related data in both paper and the database and ensure all employment requirements are met.

Preparation and keep record of all documentation for new employees and internal movement for payroll and filing purposes

Conduct terminations for employees who are leaving or have left the company.

Maintain accurate and complete employee information on prevailing filing system.

Generate relevant reports or documents on request.

Order and manage departmental stationary.

Generate GRV’s on SAP for departmental supplier invoices

Reporting

Monthly reporting on all new employees and internal movements.

Weekly recruitment update on vacant positions

Monthly reporting on Grievances and disciplinary hearings

Exit interview reporting on reasons for resignation.

**Qualifications**:
National Diploma in Human Resources Management or equivalent

Certificate in Labour Relations

Certification in Microsoft Office

Experience

3 years working experience as Human Resources Generalist/Coordinator

SAP software

Knowledge

Knowledge of SAP

Knowledge of relevant legislation (BCEA, LRA, EEA)

Knowledge of relevant policies and procedures
