Reception/Administration Assistant

General Purpose

We are urgently looking for a receptionist/administration assistant to perform a wide range of administrative and office support activities in one of our prestige Auto Body Shop in the Ballito Area..

Main Job Tasks and Responsibilities
- Answer, screen and transfer inbound phone calls
- Receive and direct visitors and clients and offer refreshments
- Create customer files (manual & electronic) as new assignments are received and schedule estimate appointments
- Follow up on repair appointments
- Sourcing and processing of invoices
- Manage Office petty cash
- Assign vehicle numbers, and inform technicians of vehicle arrivals
- Print sign-in/sign-out templates each week, validate staff sign-in and sign-out times
- Maintain Office inventory and keep track of all office equipment services required
- Maintain cleanliness of office, customer areas and bathrooms
- Assist with visitor shuttle service
- Update and maintain business social media accounts
- Handle all customer queries

**Requirements**:

- +3 years office administration/ reception experience
- Relevant office administration qualification
- Excellent computer and Microsoft Office skills
- Knowledge of operation of standard office equipment.
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping
- Excellent communication skills (both verbal and written)
- Must have a valid driver’s license
- Able to work overtime, weekends and public holidays

**Salary**: R8,000.00 - R12,000.00 per month

Ability to commute/relocate:

- Ballito, KwaZulu-Natal: Reliably commute or planning to relocate before starting work (required)

**Experience**:

- Administrative office procedures, practices and equipment: 1 year (preferred)
