Office Administrator

**Job Summary**:
**Responsibilities**:
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable
- Update company pricing schedule
- Maintain office security by following safety procedures and controlling access via the reception desk
- Order office supplies, keep inventory of stock and do stock take
- Update calendars and schedule meetings, serve tea and water during meetings
- Arrange travel and accommodations and prepare vouchers
- Keep updated records of office expenses and costs
- Organising the filing system manually and electronically,
- Booking of courier companies and follow up on all courier deliveries
**Tender Management**:
- Source tenders online on a daily basis, forward them for approvals,
- Prepare and complete tender documents accordingly
- Attend tender visual briefing and in person through-out KZN
- Prepare accurate costing schedule on excel spreadsheet to submit for pricing
- Coordinate tender submission
- Keep an up to date company pricing schedule and notify your colleagues with any changes to supplier prices
- Meet all tender submission deadlines

**Skills Required for this position**:
- Proven work experience as an Office Administrator / Receptionist or similar role
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Proficient in MS Office (Ms Word, Excel, Power point etc)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks and think outside the box
- Ability to work under pressure
- Customer service attitude
- Attention to details
- Flexible
**Education, Experience Requirements**:
- Matric
- Certificate / Diploma in Office Management will be an advantage
- 2 - 5 years of experience
**Experience**:
- Administrative office procedures, practices and equipment: 2 years (required)
