Receptionist/administration Assistant

Waste Carriers is looking for a professional Receptionist to oversee all receptionist and secretarial duties at our main entrance desk. This position reports to the Group Administration Manager and will be based at our offices in Airport Industria, Cape Town.
**Job Purpose**:
As Receptionist, you will be the ambassador of our company’s first impression on the guests and visitors. It will be your foremost responsibility to greet all incoming guests and visitors help them with directions or any appropriate information that they need while maintaining a high level of confidentiality.
**Job Objectives**:
- Greet guests and provide them with excellent customer service
- Ensure the front desk is neat, presentable, and equipped with all the necessary stationary supplies
- Answer all client questions and incoming calls
- Redirect phone calls to the appropriate department as well as take and distribute messages
- Accept all letters and packages, and distribute them to their appropriate departments
- Track and order all office equipment and supplies
- Maintain records and files as and when required
- Administration of all insurance claims as and when they arise.
- Working with assets and be the custodian of the fleet list
- Stock and inventory control for the group
- Ensure the procurement function for the office is managed up to date
- Other duties as required by the line manager and at times to assist other department heads as required
**Job related knowledge & skills**:
- Problem solving skills, ‘make things happen’ attitude
- Communication (written and verbal) skills in at least two of the three official languages of the Western Cape
- Excellent Computer literacy (MS Office Package, Outlook, Work, Excel, PowerPoint, One Drive, Teams, SharePoint, Internet etc)
- Ability to act with tact and discretion
- Ability to work extended hours and weekends, as and when required
- Sound organisational skills, people management and change management skills
- High level of reliability, honesty, integrity, confidentiality and presentation skills
- The ability to multitask and work well under pressure, as well as setting own deadlines
- Excellent written and verbal communication skills
- Excellent organisational and multi-tasking abilities
- Good numeracy and telephone etiquette
- Broad knowledge of all aspects pertaining to line functions within the company and the admin departments functions
**Education & Experience**:
- Grade 12-Essential
- A minimum of 5 years of proven experience in a similar role-Essential
- Secretarial /Office Administration qualification-Essential
- 3 years experience in dealing with insurance providers and submitting claims
- 3 years experience in managing the administration of a fleet
- 3 years experience in stock and inventory control
- Good understanding of office administration and basic admin practices-Essential
- Previous work experience in a Logistics environment-Desirable
- Drivers License (Code B or higher)
