**Job Title**: Administrative Coordinator - Mortgage Brokerage
**Location**: Durban, South Africa (Initially Remote)
Are you an organised and detail-oriented professional with experience in administration? Join our dynamic mortgage brokerage team in Durban Your role will ensure the smooth coordination of essential administrative tasks, supporting our advisers, lenders, and clients.
**Key Responsibilities**:
- Handle requests for documents from lenders (primarily managed by advisers).
**Completion Date Notifications**:
- Update our internal CRM with the expected completion date to trigger automated client fee notifications.
- Update Asana with completion date details and tags to ensure accurate task tracking.
**Completion Checks**:
- Complete the completion checklist and ensure all related tasks are carried out.
- Monitor client fee payments, maintaining a 7-day response window, and escalate issues to advisers if necessary.
- Update Asana, the internal CRM, and client communication templates to finalise tasks.
**Case Submission**:
- Review DOC cases with pending adviser actions before generating Debt Consolidation and Suitability Letters.
- Monitor cases in the submission pipeline and provide feedback to advisers.
- Ensure debt consolidation forms are signed, escalating incomplete tasks to advisers.
**Offer Checks**:
- Verify offers against FF, ESIS, MROS, and other documents for accuracy.
- Update the internal CRM and Asana with offer status, expiry dates, and other details.
- Save all relevant documentation to the FF system.
**Ongoing Monitoring**:
- Proactively review offer cases nearing expiry and follow up with solicitors to prevent delays.
**Requirements**:
- **Educational Qualification**: National Senior Certificate (NSC) or equivalent.
- **Experience**: Previous administrative experience in customer service, financial services, or the mortgage industry is preferred.
**Skills**:
- Strong organisational and multitasking abilities.
- Excellent attention to detail.
- Proficiency in using task management tools (e.g., Asana) and CRMs (e.g., internal CRM).
- Effective communication skills for liaising with clients and team members.
**Team Collaboration**: A proactive and team-focused mindset is essential.
**Working Hours**:
- Monday to Friday: 8:00 AM to 8:00 PM (UK Time, shifts organised within these hours).
