Main purpose of the job The incumbent will be responsible for the management and professional upkeep of the reception area ensure quality of service to all staff, callers and visitors. Perform an administrative support function to various staff members.

Key performance areas - Answering the switchboard - calls must be answered within three (03) rings - Taking messages - Attending to visitors and ensuring that the visitors register is completed - Arranging the courier services; Circulation of mail; Distribution and management of stationery - Manage the booking of boardrooms and ensure no double bookings occur - Printing of telephone accounts and ensure that these are returned timeously to be processed by payroll if necessary - Update and distribute contact and extension lists - Assist with access control processes - Other duties as assigned applicable to this role.

Required minimum education and training o Grade12/Matric

Minimum work experience o 1-year’s work experience as a Receptionist

Desirable additional education, work experience and personal abilities o Experience working in a donor funded or NGO environment and experience in a project-based environment in a similar role. o Excellent reception etiquette skills. o Good organization and administrative skills together with working knowledge of Microsoft Office. o Must be proficient in English.Must practice confidentiality and tact and be able to deal with sensitive information. o Good communication skills. o Professional attitude o Available to commence work immediately.
