- Provide parties timeously with the relevant and accurate HR documentation with regard to performance management and appraisals.
- Facilitate and ensure a thorough understanding of the performance management system by the stakeholders

- Ensure performance contracts and reviews completed by due dates
- Capture all Performance ratings on SAP, follow up with outstanding IPA’s and ensure all IPA’s are received in time for the Annual Increase Exercise
- Tracks training initiatives against PDP’s received and provides feedback to HR Executive

HR Administration, Data Management and reporting**
- Responsible for all administration related to employee life cycle including new engagements, benefits, employee changes, leave analysis, terminations, etc Responsible for all updates on staff sites
- Communicate and create understanding of all payroll, HR Policies and procedures to employees.
- Prepare Line Managers and co-ordinate the annual processes and performance management.
- Prepare monthly Business Unit HR Update reports as well as quarterly review reports;
- Attend to general requests / queries from internal and external customers
- Follow up on all referred queries / complaints to ensure they are dealt with and followed through
- Check that all relevant HR documentation have been received and keep all HR and confidential documentation and information up to date in a safe and secure environment
- Provide all parties timeously with the relevant and accurate requested HR documentation
- Update SS organograms and staff sites on monthly basis
- Attends to general requests / queries from internal and external customers
- Schedules necessary meetings, ensures meeting venues are prepared and appropriate equipment and meeting documentation is available
- Compile accurate Monthly reports showing new starters, terminations, movements throughout Shared Services before deadline on a monthly basis
- Assist in conducting of HR surveys as required e.g. Leadership/Culture surveys
- Conduct exit interviews on resignation from the company and report back to the business with HR insights
- Ensure high level and high standard of customer service and guidance in line with HR Policies and Procedures
- Develop and update job profiles for all employees across Shared Services
- Co-Ordinates HR Projects’ deliverables, including Business Unit specific and HRSS projects. including employee engagement, and reward and recognition initiatives
- Delivers a high level and high standard of customer service and guidance in line with HR Policies and Procedures
- Ensures effective communication on updated HR policies and procedures to line managers
- Provides support and advice on the interpretation and understanding of HR policies and procedures to management and staff
- Ensures all HR audit requirements are adhered to - liaises with Shared Services and International on all HR Audit matters
- Provides Auditors with necessary files and documentation
- Develops an up to date job profile database using the AVI competency menu
- Conducts quarterly review of the Business Unit’s organisational structure to ensure an accurate reflection of jobs and their reporting lines
- Prepares the necessary daily, weekly and monthly HR related reports, including information on staff movements, IR activities, headcounts and employment costs, absenteeism, product contamination, ICAS referrals
- Develops any other adhoc reports as required by the Business Unit, the Finance department, AVI, Line Managers and the HR team
- Provides assistance with the legislative reports submitted
- Checks and signs off monthly payroll variance reports, follows up and resolves discrepancies
- Liaise with staff regard to Death and Disability Claims for provident fund
- Manage Long Service Allowances, running reports, capturing the workflows, checking the variance report for payment, arranging the LS Certificate and framing
- Support the HR Manager in delivering talent management output
- Provides staff with confirmation of employment letters, copies of payslips, service letters, visa letters, etc. as required
