Payroll Administrator

**Responsibilities**:
Payroll Processing:
- Collect and verify employee time sheets, attendance records, and other relevant data and process within the Payspace software
- Enter and maintain accurate payroll information in the Payspace software, adhering to South African payroll requirements
- Calculate wages, salaries, overtime, bonuses, and deductions using the Payspace software while following South African labour laws
- Process payroll on a regular schedule using the Payspace software and ensure timely payment to employees
Payroll Administration:
- Maintain employee payroll records within the Payspace software, including personal information, tax forms, and banking details, while complying with South African data protection laws
- Update employee records as necessary, such as changes in salary, deductions, or benefits, using the Payspace software in accordance with South African labour regulations
- Ensure compliance with South African labour laws, tax regulations, and company policies within the Payspace software
- Respond to employee inquiries regarding payroll-related matters, providing accurate information based on South African employment legislation
Tax Compliance:
- Calculate and withhold appropriate taxes from employee pay checks using the Payspace software, including income tax, UIF (Unemployment Insurance Fund) contributions, and other applicable deductions in accordance with South African tax regulations
- Stay updated on South African tax laws and regulations within the Payspace software to ensure accurate tax calculations
- Prepare and submit tax reports and payments to relevant South African authorities using the Payspace software.
- Issue annual tax certificates (e.g., IRP5/IT3(a) forms) to employees through the Payspace software, complying with South African tax requirements
Benefits Administration:
- Administer employee benefits, such as medical aid, pension funds, and other deductions or contributions, within the Payspace software while adhering to South African laws and regulations
- Process benefit enrolments, changes, and terminations using the Payspace software, ensuring compliance with South African labour legislation
- Collaborate with HR or benefits departments to ensure accurate benefit deductions within the Payspace software, following South African benefit regulations
Record keeping and Reporting:
- Maintain accurate and up-to-date payroll records within the Payspace software, including employee earnings, tax withholding, and benefit deductions, in compliance with South African recordkeeping requirements
- Generate regular payroll reports using the Payspace software for management or accounting purposes, adhering to South African reporting standards
- Prepare reports related to payroll expenses, tax liabilities, and other relevant metrics within the Payspace software, following South African reporting guidelines
Compliance and Audit:
- Ensure compliance with South African labour laws, tax regulations, and internal policies within the Payspace software
- Assist in internal or external audits related to payroll processes and documentation utilizing the Payspace software while complying with South African auditing standards
- Maintain confidentiality and security of payroll information within the Payspace software, in accordance with South African data protection laws
Qualifications and Skills:
- Matric OR equivalent (Bachelor's degree in accounting or related field preferred)
- Proven experience as a payroll administrator or in a similar role, with specific experience using the Payspace software
- Strong knowledge of South African payroll processes, tax laws, and labour regulations
- Proficient in using the Payspace software for payroll administration in compliance with South African requirements
- Excellent mathematical and analytical skills
- Attention to detail and accuracy
- Strong organizational and time management abilities
- Excellent communication and interpersonal skills
- Ability to safely handle confidential information, adhering to South African data protection laws
