**Job Purpose**:
Responsible for managing the entire bid/tender process, from identifying potential tenders to submission and vendor registration. This includes coordinating with various departments, ensuring compliance with company policies and client requirements, and maintaining accurate records and reports

**Required: Qualifications**

Matric (Grade 12)
Diploma /B-Tech in IT or related field
Drivers License & own Vehicle

**Required: Experience**

3-5 years' experience in an IT Environment
3-5 years' experience in bid/tender management.
Experience in developing leads and researching potential clients
Ability to contact customers, complete sales and manage other tasks independently.
Experience in analysing and compiling IT related bids/tenders/proposals.

**Required: Knowledge**

Strong knowledge of bid/tender best practices and processes.
Verifiable track record in bid management and of planning and developing compliant and successful bids.

**Work Environment**

Office based activities.

**Job Specification & Key Responsibilities**

Searching for tenders and monitoring of tender announcements various sources
Completing Tender Documents, Submission of tenders and Vendor Registration.
Ensure that tender briefings are attended, including submitting briefing reports and feedback.
Checking of documents for a grammatical and layout perspective and standardized tender templates.
Providing strategic advice throughout the tender process as well as an ongoing assurance function throughout the tender, promoting best practice.
Organizing the tender document (Downloading, Purchasing and Collection)
Keep record of the database and bids register (submitted and due)
Promote best practice tendering and sharing learning across the organization and through reviews on tenders and tendering processes.
100% - Accurate completion of proposals/pricing and timely submission thereof
Ensure quality proposal submitted based on understanding of client requirements and trends.
Minimizing risk to the business and ensuring tenders are submitted in line with the company policies, process and Client requirements, keeping open communication channels and lead on consultations with Finance Manager, Project Manager /Unit Team Leader, etc.
Corresponds with clients in conjunction with the tender process as required, i.e., non-disclosure agreements, confirmation of interest, etc.
Dealing with external subcontractors, Suppliers, Strategic Partners
Reporting - Ongoing update of Salesforce pipeline.
'Monthly analysis of proposals converted vs tenders lost.
Good internal/external relationships. Building relationships with Preferred Partners.
Establish relationships with allocated Client Relationship Managers.
Always retain strong relationships with new and existing client base.
Follow up on vendor numbers and submitted bids.
Ensure effective prioritization of tasks and assignments.
Update all relevant documentation, technical writeup templates, supplier databases and company sales records and produce reports.
Generate monthly reports on all tenders - competitiveness in area and department feedback frame for monthly management meetings.
Responsible for updating and tracking of a Pre-sales list Complete administrative tasks, such as processing and recording sales, as needed on CRM.
Undertake any other tasks and responsibilities appropriate to the level of this post as required by the BDM.
