**Main purpose of the job**:

- To provide administrative, operational, and financial support in compliance with WHC policies and regulations

**Location**:

- **Rosebank, Johannesburg**

**Key performance areas**:

- Reconcile project credit cards and petty cash/advances and ensure payment
- Liaise with the WHC finance and contracts team on a regular basis to ensure consistent, clear communication and compliance with WHC guidelines
- Cost Reallocations/cost recoveries are calculated and actioned
- Ensure expenses are allocated to the correct budget line item
- Tracking expenses and ensuring budget use is accurate
- Liaising with the WHC finance team to ensure financial reports are accurate and prepared timeously, for donor reporting and for meetings such as team/donor/board meetings
- Attend and assist in relevant meetings relating to financial reporting
- Obtain quotes and source services and goods in accordance with WHC guidelines
- Load quotations on P2P and generate purchase orders
- Collect, scan, and reconcile the slips after the team has traveled
- Support the RHAP team with administrative tasks as and when needed
- Perform miscellaneous clerical duties such as courier, posting services, and drafting and editing letters
- Perform miscellaneous office duties to ensure the office is an enabling environment for staff and visitors, i.e., prepare meeting rooms, organize catering
- Assist in ordering office supplies and stationery
- Perform relevant administration i.e., filing, copying, faxing, etc.
- Verifying project payroll monthly summaries sent by HR
- Processing any reallocations/cost recoveries relating to payroll/salaries i.e. salaries are drawn from the correct costs centers and in the correct proportions (percentages) in compliance with WHC guidelines and grant agreements

**Required minimum education and training**:

- **Minimum of 3 -5 Years of business administration, finance operations, and/or administration experience**

**Desirable additional education, work experience, and personal abilities**:

- Experience in working in a donor-funded organization/NGO or project-based environment or grant management
- Exceptional organizational, finance, operations, and administrative skills together with working knowledge of Microsoft Office 365 and good Excel skills
- Strong attention to detail
- Must be proactive and have the ability to exercise discretion and independent decision-making
- Ability to prioritize own workload and meet deadlines
- Must be self-motivated and able to work independently and work as part of a multidisciplinary team
- Ability to use/learn in-house online procurement and payment systems
