Portfolio Manager spec

SLT based in Cape Town City Center is currently looking for an experienced Portfolio Manager to join the team. This individual will have all forms of administration support and a solid portfolio of well-respected clients.

FINANCE
- On-going management of the BC financials
- Liaising with trustees on an ongoing basis
- Addressing any financial queries with trustees
- On-going daily/monthly finance
- Attend to levy increases
- Attend to reversal of interest
- Manage debt collection process
- Checking and signing transfer documents
- Advising trustees on budgets and adjusting budgets as per trustee requests prior to finalisation of budget
- Dealing with internal staff with regards to debit order mandates, limit increases

INSURANCE
- Liaise with clients re insurance claims
- confirm claim is valid
- assist owner in completing claim form
- arrange for contractor/s to quote and carry out work
- request insurance certificates from broker when needed
- arrange increase of sums in insurance when clients request
- ensure the increase is captured as a recurring recoverable
- obtain quotes for insurance valuations and liaise with trustees on this matter
- insure premiums are paid annually or monthly
- distribute relevant insurance information at time of AGM
- attend to renewals
- instruct broker and / or
- get quotes from other brokers if trustees request so

STAFF
- Assisting trustees with matters pertaining to BC employees
- Ensure that the wages clerk is informed of BC employee salary, bonus, working hours, leave
- Attend to letters of warning, disciplinary hearings
- Working with trustees on a duty list
- Creating any employment contracts that may be required
- Arranging for cleaning materials, uniforms, gardening tools etc
- Obtain quotes for guards, guarding, cleaning and security companies if required
- Liaising with trustees regarding contracts associated with the above
- Dealing with the above companies regarding complaints and / or suggestions on behalf of the trustees

MAINTENANCE
- Liaising with Trustees re building reports compiled
- Arranging for independent building consultations if required
- Obtaining specifications / quotes for redecoration of common property
- Obtaining general maintenance quotations for common property for trustee approval
- Advice on determining responsibility for maintenance issues (i.e. body corporate or owner)
- Communicating with owners at trustee request requesting for maintenance work to be carried out by owner
- Lift contracts, payments, inspections, calling out lift company when needed.
- Assisting with lift installations and / or replacements (process, contracts, signing etc)
- Ensure fire equipment is installed, up to date and serviced at regular intervals.

ADMIN
- ALL aspects of Sectional Title - advise, guidance
- Rules - assisting trustees with enforcing the rules at a BC
- advise owners of fines, if instructed by trustees
- consult with attorneys, if required, with regards to enforcing rules
- Ensuring necessary resolutions are in place when amending rules
- Liaising with attorneys when registering rules
- Supplying rules to new owners / agents / tenants if requested
- Assist trustees with all aspects of the Sectional Title Act and rules
- Obtain quotes for trustees if required for legal opinions re the above
- Deal with municipalities on behalf of BC to prevent services being terminated due to non-payment
- Loading of new buildings
- Share blocks
- Home Owners Association

MEETINGS
- Arrange AGM’s, SGM’s and Trustee Meetings
- Timeously confirm available / suitable dates with Trustees for meetings
- Source and confirm a meeting venue if required
- Timeously prepare meeting agendas and meeting documentation for assistant to send out
- Attend meeting
- Ensure the Meetings attendance register is signed
- Lead the ‘formal’ part of the meeting (in most cases)
- Take minutes at the meeting
- Assist and advise on procedural matters
- Get previous meetings minutes signed by Chairperson / trustee
- Within 7 days of meeting, minutes must have been compiled and circulated to all Trustees
- Once approval has been received minutes must be circulated to all owners
- Attend to and / or delegate all matters that were raised during the meeting

PORTFOLIO MANAGER ‘LAST BUT NOT LEAST’
- Be responsible. Plan. Lead. Motivate
- Promote our company whenever given the opportunity
- Attend to and supply quotations for new business
- Meet with prospective clients
- Assist wherever possible and wherever needed

General skills:

- Experience working on your own towards a deadline.
- Prioritisation skills
- Strong administrative skills

**Requirements**:
Own transport

Sectional Title qualification/certification is a must

Proven client satisfaction is a must
