**ROLE CONTEXT**

**KEY RESPONSIBILITIES**

**Project Management**:
Planning and administration of multi-disciplinary projects as directed; including fleet replacements.

Preparation of budgets for Capital Expenditure Projects (CAPEX) and the implementation thereof.

To include the Business Case (BCA) preparation and presentation for approvals according to DOAG.

Projects may include coordinating: facility upgrades, “go-green” initiatives, ergonomic reviews, etc.

Designing and specifying finishes for office spaces to align with prescribed regulations and GSOP.

**Property Management**:
Manage all facility upgrades, maintenance and repairs.

Lead H&S facilities compliance.

Assist in engaging and negotiating with property owners and landlords on lease renewals for existing leases and in the case of new premises rentals,

coordinating new leases and offers to lease.

Strategic alignment to ensure best-in-class facilities for effective and efficient operational execution.

**Administrative**:
Prepare and submit monthly vendor invoices either using manual system or on-line Procurement system (GET);
Facilities and related infrastructure account queries and escalations;
Fleet & Asset Management.

Assist in audits: facilities, fleet, security, H&S, etc.

Manage the Stock Control Policy regarding purchasing and stock control of grocery items (e.g. cleaning, tea, coffee, etc).

**Miscellaneous**:
Proactively Managing Suppliers / Service Partners against set KPI’s, including: Fleet, Car Wash, Cleaning, R&M Teams, etc.

Coordinating quotes, evaluating work and approving relevant GRN to ensure compliance with Purchasing Policies.

Management and coordination of maintenance help desk.

Scheduling and planning of facility maintenance and repair work (planned and unplanned).

Provide support to the SSA Engineering team for the implementation of selected projects.

Sourcing and allocating correct trade to ensure work is carried out accordingly and cost effectively.
- Grade 12, Diploma or Degree in Facilities Management and a minimum of 5 -7 years in Facilities & Project co-ordination;
- Valid driver’s licence - minimum 2 years;
- Computer skills
- Proficient in Microsoft Suite, including Project Management.
- Good Understanding of Health & Safety and Workplace Risk analysis and Standards.
- Strong problem solving skills and good understanding of the necessary principles of mechanical and electrical requirements.
- Good interpersonal skills and strong independent working skills
- Excellent oral and written communication skills.
- Ability to follow up diligently and resolve issues in a timely and effective manner.
