**Employer Description**
Hotel group with properties within various African countries.
To ensure that bookings requested by clients, be it Direct / Travel Agents or Tour Operators are made timeously and correct. Invoices send out to these clients and following up of payments. Building and maintaining of relationships with reservations staff in the various hotels. - ** Reservations**
- Forwarding confirmations and pro-forma invoices to clients and ensuring payments for reservations are made timeously.
- Mailing received proof of payments to properties to be allocated to the clients booking to ensure a quick and hassle-free check-out by clients.
- Requesting of Group and Conference quotes on clients behalf and booking when quotes are accepted by clients. Continue to be the liaison between client and hotel until conference happens and the group travels.
- ** Contracts**
- Sending out of Corporate and STO Contracts, recording of such contracts and rates
- ** Statistics**
- Compiling of weekly sales reports for each country and distributing to Sales Director / Finance Department and Sales & Marketing Manager.
- At month end compiling of a monthly and year-to-date sales report for Sales Director/ Finance Department / Sales & Marketing Manager.
- Compiling of top supporters for month and year for SA Sales Managers
- ** Finance**
- Reconciling of Bank Statements on a weekly and monthly basis
- Following up of payments of clients who have 30day accounts
- Requesting of payments at month end such as rent / Wi-Fi etc.
- Controlling of petty cash / recon of slips to enable refund of Petty cash 4
- ** Sales**
- Maintaining of Database and adding of new lists after workshops.
- Telesales calls to potential clients as per info supplied by Sales Managers.
- Regular Telesales calls to agents in far off areas where sales call is not usually done to establish if there is a need for our properties
- Regular sending out of info/specials to database as supplied by Sales Manager
- ** Miscellaneous**
- Ordering of Stationary as needed
- Producing “Orange Information Packs” for workshops and training by Sales Reps
- Assisting Sales/Marketing Manager and Sales Account Manager where needed.
- Supervising of office cleaner and replenishment of cleaning materials/tea/coffee etc.
- Maintain a neat and professional office
- Other duties that may arise such as assisting at workshops and exhibitions, working over weekends at these shows if necessary, attending of functions afterhours (working hours however are mainly Mon - Fri, 8 - 5).
**Qualifications**
Relevant diploma/degree
**Skills**
At least 3 years' experience in similar role. Excellent admin skills. Go getter who can work in a small team.
