- Manage the Group Executive’s schedule.
- Act as point of contact among senior management, employees, customers and other internal and external stakeholders.
- Liaise with senior management members by handling logistics of meetings, fielding general queries and advancing information.
- Managing information flow in a timely and accurate manner.
- Screen and route visitors, phone calls, meeting requests, correspondence and submissions.
- Prepare for meetings through coordinating venue logistics, agenda and high-quality documents.
- Coordinate and manage travel arrangements including flights, accommodation, transfers, car rental, meeting schedules, passport and visa requirements, and forex as well as expense reports.
- Administering official records, documents and reports i.e. month end reports etc.
- Ensure receipt of all sales proceeds from customers.
- Ensure timeous payment of all creditor invoices.
- Monitor debtor payments and follow up on late payments for customers.
- Monitor creditor payments and follow up on queries from service providers
- Reconcile relevant documentation for submission to the Reserve Bank
- Compile financial reports for the department as required.
- Maintain a high level of confidentiality at all times.
**Qualifications and Experience**:
- A minimum Grade 12 certificate with a Secretarial / Personal Assistant Certificate essential.
- Relevant NQF level 6 qualification will be an added advantage.
- Minimum of 3 years’ relevant experience as a Secretary or Personal Assistant.
- High level computer literacy particularly with reference to Microsoft Office Word, Excel and PowerPoint.
- Excellent verbal and written communication skills to help shape a positive company image.
- Knowledge and understanding of administrative procedures and business practices.
- Highly developed organisational skills to respond to a fast-paced office environment.
- High levels of initiative, professionalism and a strong attention to detail and accuracy.
