Learning and Development Administrator

A new opportunity has arisen for a Learning and Development Administrator to Join our team. Reporting to the Learning and Development Manager, the position will be responsible for providing administrative functions in the learning and development department in support of the learning and development strategy.
**RESPONSIBILITIES**
- Produce and maintain large volumes of accurate electronic and manual learning and development records in compliance with company policies and procedures
- Ensure full compliance with company policies, quality assurance standards and regulatory requirements
- Assist Learning and Development Manager with the preparation and compiling of the Annual Training Report (ATR) and Workplace Skills Plan (WSP)
- Capture Training Needs Analysis for Signature and Autograph
- Plan, schedule, prepare, and co-ordinate learning event arrangements including required training material, venue, travel and catering requirements for all identified learning and development events in compliance with company policies and procedures
- Organise and administer learner registration for all internal, external and SETA learning interventions
- Communicate programme requirements and details to employees and training service providers within agreed timelines
- Schedule employees to attend internal and external learning events in accordance with the Workplace Skills Plan and learning and development strategy
- Capture all learning and development interventions according to agreed processes including enrolment and attendance register administration
- Ensure all training intervention evaluation and assessments reports are captured according to agreed standards
- Ensure all supporting documents such as registers, expenses, invoices, and learner’s information are received, captured, and filed monthly
- Interact with and influence all internal clients to track attendance registers of learning interventions
- Perform allocated Learning Management System (LMS) administration tasks (once established)
- Provide accurate and timeous monthly and ad hoc reports to the Learning and Development Manager
- Ensure all expenses are approved by Learning and Development Manager
- Administer workflow processes for the payment of invoices and related transactions
- Compile and maintain project budget and tracking of such budgets
- Communicate effectively with service providers to timeously obtain invoices and arrange payment
- Maintain accurate records of all training service providers
- Capture all training data required for the SETA, BBBEE and other compliance reporting
- Maintain accurate records of the ROI (Return on Investment) on all programmes and compile relevant reports
- Ensure all training information and supporting documentation is filed in the appropriate manner and available for legal, reference and audit purposes, e.g., BBBEE, SETA, etc.
- Build and maintain an effective working relationship with the SETA
Respond to all training, learning and development questions or concerns in a timeous and customer orientated manner
- Assist the Learning and Development Manager to source educational suppliers for approved qualifications
- Prepare and partner with line managers to provide new employee on-boarding packs
- Perform administrative functions including but not limited to compiling training material and instructional aids, printing certificates
**Requirements**:
**EDUCATION & EXPERIENCE**:
- A minimum of Grade 12 or equivalent is required
- A qualification in Human Resources or related field is required
- Minimum 3 years experience in administration
- Minimum 2 years working in learning and development
- Proficiency in MS Office is required
- Demonstrable knowledge and experience working with the Workplace Skills Plan, and Annual Training Report is required
- Knowledge of learning and development processes is required
- Experience working with the W&R SETA an advantage
- Working with a Learning Management System an advantage
- Previous experience working in a retail environment an advantage
