Organ Procurement Coordinator

The Organ Procurement Coordinator will handle the entire organ transplant process. This includes communication and coordination between the donor/donor’s family, recipient and doctors regarding organ transplantation services. The individual will manage the deceased organ donor process and facilitate procurement of viable organs for transplantation to a waiting recipient.
The Organ Procurement Coordinator will also provide assistance during organ recovery, transportation and follow up post-transfer. Further to this, this individual will act as an expert in the area of transplantation and will provide information and prepare presentations and other communication to support standards of care but most importantly will support the principle of organ donation and
transplantation.
The Organ Procurement Coordinator will be required to work in consultation with other stakeholders
to form synergistic partnerships to achieve organizational transplant objectives and the hospitals strategy aligned to Person centered Health and care.
**Accountabilities (But not limited to)**
- **Best practice benchmarking**:
- Keep abreast of current research in the discipline for the benefit of business sustainability and
alignment to best practice standards
- Contribute towards the alignment of Hospital transplant processes and Standing Operating
Procedures to meet external certification and accreditation requirements as required within
legislative and best practice standards
- **Risk, legislative requirements, compliance management and reporting**:
- Strictly adhere to the South African law (National Health Act [NHA], 2003, Chapter 8) and the
Policies relating to the Transplant according to the National Department of Health (NDOH)
Government Gazette, Notice 320 of March 2008
- Report any potential transgression of the NHA or any other applicable legislative control relating
to transplant management
- **Financial administration**:
- Ensure that service providers are assisted and provided with the necessary details for billing
purposes
- Collect and reconcile all accounts relating to the donor and recipient in line with the Transplant
Standard Operating Policies (SOP’s)
- Maintain financial control of all accounts, remain cost conscious and ensure the correct tariffs and
that billing arrangements are aligned to National standards
- **General administration**:
- General office administration to ensure job efficiency
- Handle all routine administration queries and work requests that may not be included in this role
profile and resolves these efficiently and effectively within the required turnaround times.

- Perform other administrative functions as required by the Regional or National Manager from
time to time. This may include additions to your job description to ensure efficiencies and
compliance within the transplant division related to, but not restricted to CareOn and other
- **Transplant Coordination**:
- Promote and practice evidence based medicine when caring for the potential organ donor.
- Provide a 24 hour consulting service to Nurses and other Healthcare professionals in relation to
any organ donation queries
- Scientific early on site evaluation of potential organ donors and ensure viability of referred organs
for donor compatibility
- Obtain consent for organ retrieval from relatives of the potential organ donors and provide
support and education to families of deceased potential donors regarding the donation process
- Maintain clinical support of a potential donor and family by partnering with the Clinical
Psychologist to reduce donor anxiety and assist them through the procedure
- Communicate effectively and provide necessary information to the transplant medical team
- Coordinate the critical step by step prerequisites and in hospital arrangements required by the
transplant team to manage the organ donor. Logistical requirements will include but not be
limited to:
- Theatre setup
- Wards/unit communication
- Anesthetists consultation
- Flight bookings (including ODF flights)
- Transfer coordination according to flight protocol
- Hospital and Nursing Manager communication
- State Pathologist communication
- Ambulance transfers
- Support staff communication
- Troubleshoot, locate and source equipment and resources unavailable at procurement center's
- Provide support and advice to ensure that the retrieval is efficient and professional which includes
being in attendance during the theatre process
- Coordinate the clinical activities that are necessary to ensure the recovery and preservation of
donated organs to ensure they remain viable for donation.
