Principal Accountabilities
1. Manning of the Office Reception and Telephones
2. Managing SA Database of Tour Operators, BTA’s and Corporate Clients (SA, Regional, International)
3. Issuing of STO Contracts and Rate Maintenance thereof
4. Sending out and following up on STO contracts and following up for signed agreements.
5. Communication of special deals & Promotions, tracking of Tour Operator Promotions
6. Coordination of images and text for tour operator brochures
7. Taking note of Booking Trends from our clients and advising the sales team
8. Processing of Reservations for Hotels and Virtual Partners,
9. Managing of the SA Office Debtors and collections
10. Processing Reservations
11. Monthly reporting on Figures generated via RSA Central Reservations
12. Managing of Office Administration not limited to Month end reconciliations, processing of payment requisitions etc
13. Travel Arrangements, Local, Regional & International
14. Co-ordination of Pre Expo Arrangements & Setting up of Appointments for various Trade Shows
15. Event Organizing, from Cocktail Events, Award Evenings, Breakfast Presentations for clients
16. Central Liaison with Commercial Office regarding Promotions etc to communicate to the Database
17. Co-ordinating Marketing Collateral in liaison with Commercial Office, sourcing of promotional branded material
18. Maintenance of the Office environment and management of office cleaner and consumables
19. Recording of meeting minutes and filing thereof
20. Any other ad hoc duties that maybe required from to time in line with the duties of the role.
Knowledge, Skills & Experience
Ideally, not less than 5 years’ experience in a similar or equal role.
Preferably holder of a Tertiary Qualification in Travel, Tourism, Office Administration
Knowledge of OPERA / MS OFFICE with Advanced Excel
Mature at 25 + years of age,
The job holder must be Commercially driven and have an extensive knowledge of reservations and general administration
Good administration, personal skills with a serious can-do attitude.
Maturity, good leadership skills, innovation, resourcefulness, and creativity are important requirements.
