Manage messages from clients to entire team, ensuring the calls are returned in a timely fashion.

Ensure reception area is always tidy and neat for customers
- **Asset Risk Management**:_

Weekly and monthly checks of Tools and Equipment

Booking in/out of special tools and equipment when and where needed

Protect company physical and intellectual property assets and ensure confidentiality is maintained at all times

Follow all company policies and procedures and business principles

Escalate any unresolved problems or issues of importance to Management

Provide administrative support to management when needed

Internal documents are accurate, filed and up to date

Ensure that all deadlines are met within the given timeframe

Keep up to date with better methods to improve your performance and customer service levels

Ensure you are a brand ambassador, up-holding the values of the company at all times, inside and outside of work

Support new team members, making them feel part of the team

Special tools management

Company Clothing, PPE control

Stationary Orders

2 Monthly grocery orders

Adhoc tasks, laminating and binding of manuals, etc.

Visitor reception & coffee/tea for visitors
- **Stock Control Functions**:_

Answering & screening of telephone calls and relaying messages

Ensure that Suppliers are managed properly to ensure a good relationship and help with better cost pricing and prioritized stock deliveries

Ensure that all stock received is correctly and timeously captured on QuickBooks/ Eworks Manager

Ensure all Stock Returns and Warranty claims are done accurately and in an appropriate manner and Credit Note is received within 2 weeks

Ensure that all stock received is checked accurately and stored in the correct safe area

Ensure that all stock areas are kept neat and tidy

Ensure that all stock to be dispatched the next day is ready with paperwork before close of business the previous day

Ensure that the Pricelist is always up to date (Updated Monthly) and sent to all the relevant team members.

Conduct accurate stock takes and ensure that the stock QTY’s are kept accurate between stock takes
- **KPI’s **_

Fresh friendly and professional experience for walk in and telephonic customers

Accurate and timely, answering and transferring of calls

All deadlines are met

All administrative tasks are completed at the high standard

All internal and external communications are completed at a high standard

Minimum stock levels are managed at all times

All Faulty & Warranty items tracked and managed accurately with minimum turn-around time (3 days). Warranty ETA sheet accurately completed and sent daily
- **Stock is managed properly & effectively**:_

Vehicle stock, Daily stock used by teams, daily stock prep for next day done (Where possible). All book-outs done the day before

Pricelist is always up to date and all item costs are reviewed and updated monthly (With R/$ fluctuations)

All reports are completed accurately and sent as per request timeline

All deadlines are met.

**Qualifications**:
Matric

Diploma / Certificate Secretarial will be adv

Secretarial experience (3 - 4 years working experience as a secretary)

Highly Computer Literacy - MS Office Suite (Word, Excel and PowerPoint) & QuickBooks

Own transport essential.

**Skills**:
Fully bilingual (Afrikaans and English) with good communication and interpersonal skills (public relations)

Telephone Etiquette

Office Administration skills

Solid written and verbal communication skills

Customer service attitude

Self-motivated and results driven

Professional personal presentation

Ability to multi-task

Ability to work under pressure

Must be someone who is bubbly, humorous and pleasant
