Faircape Health is a leading private healthcare provider in the Western Cape with over 300 beds, offering on-site Healthcare Centres at all of our Faircape Life retirement villages as well as a Health Rehabilitation Centre at Tokai Estate.

Our extensively trained staff and comprehensive activity programmes enable the provision of frail, dementia, palliative care, restorative care and rehabilitation to patients in a safe and secure environment.

We are seeking an** Administration Manager** to join the team. The Administration Manager is responsible for overseeing all administrative functions at Tokai Estate healthcare by managing administrative employees and providing support to Management.

**Duties will include the following, but not limited to**:

- Ensure that all Administrators provide excellent administrative support to the Allieds and Managers
- Manage all stock checks
- Manage the petty cash balances each month
- All healthcare administrative systems are adhered to by regular checks
- Ensure full staffing on each shift according to roster for nursing staff
- Control and management of all stock including stock takes, par levels, storing and safekeeping
- Patient Referral is tracked on the Faircape Tokai - Administration Google Sheet
- Ensure that outstanding authorisations are tracked on the Faircape Tokai - Administration
- Inform the Assessment Manager and the referring doctor regarding any declined medical aid authorisations
- Complete daily reports for patients that require extended stays
- Ensure that member’s medical aid details are correct
- Manager to co-ordinate admissions with the administrators
- Maintenance within the facilities are logged and completed within the timeframe
- Management of the full admission and discharge procedures
- Manage the billing and ensure all allieds billings are completed within the agreed timeframe
- Ensure that admission / discharge documentation is completed accurately
- Confirm the number of available beds on the dashboard and liaise with the NSM to allocate the patient
- Relationship Management with key case managers at hospitals and medical aid schemes
- Oversee that the Receptionists are fully equipped to answer client queries as per procedure
- Facility spending remains within budget (as communicated by Claremont finance)
- Fire drill and evacuations carried out as per policy and procedure
- Manage all administrative systems, procedures and policies adhere to company guidelines
- Manage efficiencies within the admin department

**Requirements**:
**Qualification**:

- Senior Certificate, relevant tertiary qualification advantageous

**Experience**:

- 3-5 years experience in a similar role

**Specific Requirements**:

- Vaccinated against covid-19 or prepared to be vaccinated prior to commencing job

Normal working hours are Mondays to Fridays from 08h00 until 17h00 with a 45 minute lunch break. The company allows employees, by approval of the direct manager, to work flexi time between 07h00 and 18h00.

Faircape offers a market-related salary from R35 000 Cost to Company per month, depending on experience.
